Job Overview
We are seeking an energetic and detail-oriented Receptionist/Dispatcher to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a welcoming and professional environment. You will efficiently manage phone systems, coordinate dispatching activities, and support office operations with exceptional organizational skills. Your proactive approach and excellent communication abilities will help streamline daily workflows and enhance customer and technician support. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a positive workplace atmosphere. Most communications with customers are over the phone or by email. Hours are M-F, 7:30am-4pm in office.

Duties

  • Greet visitors warmly, direct them appropriately, and maintain a professional front desk presence
  • Answer incoming calls using multi-line phone systems with courteous phone etiquette
  • Manage appointment scheduling, calendar coordination, and office correspondence
  • Dispatch service requests accurately to field personnel or relevant departments in a timely manner using Service Titan
  • Maintain organized filing systems, data entry records, and ensure proper documentation of all interactions
  • Support office management tasks including proofreading documents, managing supplies, and assisting with bookkeeping using QuickBooks
  • Provide exceptional customer service by addressing inquiries promptly and professionally while supporting overall office operations

Experience

  • Proven experience in front desk reception, clerical duties, or office administration
  • Familiarity with multi-line phone systems and office management software such as Google Workspace and Microsoft Office
  • Bilingual abilities are preferred, but not necessary
  • Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Previous experience with data entry, filing, proofreading, and customer support roles is ideal
  • Knowledge of QuickBooks for bookkeeping tasks and calendar management tools is a plus
  • Excellent communication skills, including phone etiquette and customer service orientation, which will also include communicating between technicians & management companies

Pay: $18.00 - $22.00 per hour
