Receptionist/Secretary

Overview
We are seeking an energetic and highly organized Receptionist/Secretary to join our dynamic team. This vital role serves as the first point of contact for visitors and callers, ensuring a welcoming and professional environment. Responsibilities

  • Greet visitors warmly and direct them appropriately, maintaining a professional and friendly demeanor at all times
  • Manage multi-line phone systems efficiently, directing calls accurately and taking detailed messages when necessary
  • Handle incoming correspondence, including emails, mail, and deliveries, ensuring timely distribution
  • Maintain organized filing systems, both physical and digital, for easy retrieval of documents
  • Support office management tasks such as calendar scheduling, appointment setting, and meeting coordination
  • Assist with data entry, proofreading documents, and maintaining accurate records using Microsoft Office and Google Workspace applications
  • Provide exceptional customer service support by addressing inquiries promptly and professionally
  • Perform clerical duties including photocopying, faxing, and basic bookkeeping using QuickBooks or similar software

Qualifications

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Prior experience managing multi-line phone systems and providing customer support in a professional setting
  • Strong typing skills with attention to detail for proofreading and data entry tasks
  • Knowledge of office management procedures including filing systems, calendar management, and bookkeeping practices
  • Exceptional phone etiquette combined with excellent organizational skills and time management capabilities
  • Personal assistant or executive secretary experience is a plus but not required
