Reception/Patient Triage/Authorization Specialist

Position Summary

The Triage and Authorization Specialist / Receptionist serves as the first point of contact for patients and plays a key role in ensuring smooth clinical operations. This position is responsible for patient intake, appointment scheduling, insurance verification, prior authorizations, and coordinating communication between patients, providers, and insurance companies.

Key Responsibilities

Front Desk & Reception Duties

  • Greet patients and visitors in a professional and courteous manner
  • Answer multi-line phone system and route calls appropriately
  • Schedule, confirm, and reschedule patient appointments
  • Collect and update patient demographic and insurance information
  • Check patients in, including collecting copays and balances
  • Maintain organized patient records in the electronic health record (EHR) system

Triage/Authorization Responsibilities

  • Receive and prioritize incoming calls regarding medical concerns
  • Document patient symptoms and concerns accurately
  • Route urgent matters to appropriate clinical staff
  • Coordinate follow-up appointments and referrals
  • Communicate provider instructions to patients as directed
  • Verify insurance eligibility and benefits
  • Obtain prior authorizations for procedures, diagnostic tests, medications, and referrals
  • Submit necessary documentation to insurance carriers
  • Track authorization status and follow up as needed
  • Communicate authorization approvals or denials to patients and providers
  • Ensure compliance with payer guidelines and clinic policies

Qualifications

  • High school diploma or equivalent required; medical office certification preferred
  • 1–3 years of experience in a medical office setting preferred
  • Knowledge of medical terminology and insurance processes
  • Experience with EHR systems and insurance portals
  • Strong organizational and multitasking skills
  • Excellent communication and customer service skills
  • Ability to handle confidential information in compliance with HIPAA

Pay: $18.00 - $20.00 per hour
