DEFINITION: RECORDS CLERK/INTERPRETER
This employee is a full-time civilian employee responsible for the maintenance of a variety of police records. The employee is under the direct supervision of the Deputy Chief of Police. Employees receive general instructions for the work to be performed, but most aspects of the work are guided by specific operating procedures.
BENEFITS:
This is a full-time position with an hourly rate of $20.81. The City currently provides the following for full-time employees: 100% City paid individual medical, dental & vision insurance benefits. Work Environment
· The employee will operate a variety of equipment including but not limited to a computer, copier, fax, printer, and multi-phone systems.
· Work is typically performed in an office setting with frequent interruptions and with the need to deal with a wide variety of people by telephone and in person, some of whom may be irate or difficult.
Essential Job Function
Essential and other important responsibilities and duties may include, but are not limited to the following:
1. Responsible for a variety of reports and records such as incident/arrest reports, accident reports, and citations.
2. Greets visitors and assists them in, but not limited to, getting reports, calling an officer in to speak with them, directing them to another office, providing records checks.
3. Attends city court proceedings and perform the duties of the Municipal Deputy Municipal Court Clerk.
4. Attends Municipal Court Clerk conferences.
5. Receives and receipts money for court fines.
6. Assist individuals who have limited English proficiency in the translation of Spanish to English to communicate with government employees or officials.
7. Ensure that the meaning of the message is accurately interpreted, without adding or subtracting any information.
8. Translate verbal communication, documents, or written materials from English to Spanish or vice-versa.
9. Maintain neutrality and impartiality while interpreting or translating for non-English speakers.
10. Other miscellaneous duties as assigned by the Chief or Deputy Chief of Police.
DEFINITION: MUNICIPAL DEPUTY COURT CLERK
The employee performs the duties of Deputy Clerk of the Municipal Court in compliance with state regulations as directed by the Municipal Court Judge. Performs a variety of routine duties to accomplish the processing of citations and court cases for court to work in accordance with, or the absence of the Municipal Court Clerk.
Essential Job Function
Essential and other important responsibilities and duties may include, but are not limited to the following:
1. Docket citations for infractions and non-traffic misdemeanors issued by the Shelbyville Police Department and maintain a record and filing system for their orderly processing.
2. Receive bail forfeitures and payments on fines; receipt and send all money received by court to City Hall for deposit. Enter data on computer.
3. Calculate and complete all litigation tax forms to be sent to the state each month.
4. Provides Public Records Requests to the Deputy Chief of Police.
5. Complete dispositions on citations. Prepare and send abstracts of conviction to the state.
6. Attend yearly Municipal Court Clerk conferences to maintain certification.
7. Attend court sessions and serve as court reporter.
8. Greet and serve the public at the counter and on the telephone responding to inquiries related to court.
Required Knowledge and Abilities
1. The desired person should have above average computer skills, competent in Microsoft Word, Excel, Power point, etc.
2. Ability to understand and follow oral and written instructions, including department policies and procedures.
3. The desired individual will have access to confidential records and information. The individual must be ever mindful of the consequences of releasing classified or confidential information. Any unauthorized release of classified or confidential information will be grounds for immediate termination.
4. The desired individual must have the ability to obtain the necessary certifications in order to become a Certified Interpreter.
Qualifications
· Graduation from a standard high school or GED
· Acquire and/or maintain TIES Certification.
· Training in the use of computers
· Pass a background investigation
· Submit fingerprints to the TBI
· Pass a physical and drug screen
· Must be a U.S. Citizen
