Recruitment Assignment Specialist

Title: Recruitment Assignment Specialist Reports To: Director of Human Resources or Designee

DESCRIPTION OF POSITION:

The Recruitment Assignment Specialist, under the supervision of the Director of Human Resources or Designee, performs a variety of duties related to the recruitment and selection of management, certificated, and classified employees; provide substitute services in all classifications; and performs a variety of clerical duties in support of the Human Resources Department


REPRESENTATIVE DUTIES:

  • Prepare postings of all job vacancies for all classifications by utilizing current systems including EdJOIN. Advertise in other resources within imposed deadlines, if needed for hard to fill positions. Develop brochures and fliers, if needed. Work with the Technology Department to ensure postings on the District’s website is correct. Work with staffing agencies and hiring managers for hard to fill positions. E
  • Maintain and update the substitute management systems (Smart Find Express) or any other District adopted automated substitute system of all classifications and employment types. E
  • Responsible for applicant tracking system which lists all applications submitted. Correspond via e-mail or by phone with applicants regarding missing documents or questions they may have. E
  • Prepare files and notify appropriate site administrator(s) when posting is closed and file is ready for review. E
  • Schedule interviews and create interview packets. Facilitate writing assessments, if needed. Source interview/writing assessment questions through sources such as CODESP. E
  • Offer positions to candidates selected; coordinate start date with hiring managers, forward paperwork for new hires to appropriate HR secretaries. E
  • Prepare Dear John letters and close files once candidates are selected and moved forward in the hiring process. E
  • Maintain and update all interview questions. E
  • Process, maintain, and coordinate with Vallejo Regional Education Center and other testing sites of substitute positions such as substitute clerical and substitute para educators. Once candidates pass the test, prepare appropriate paperwork and forward to the appropriate HR Secretary. E
  • Coordinate and prepare materials for annual recruitment fairs. E
  • Process all certificated substitutes, classified substitutes, and coaches for hire – fingerprint, I-9 packet, and Form 6, if needed. E
  • Coordinate with school/department sites in regards to substitute placement. E
  • Train and assist users of the Substitute System and application system. E
  • Perform scheduled activities, including scheduled/preventive maintenance on the substitute system and application system or any other District adopted automated system. E
  • Develop computer generated reports daily, weekly, monthly, and annually for applicant tracking and substitute requests filled for all personnel. E
  • Respond to voicemail and e-mail daily. E
  • Responsible for signing up and giving correct information to individuals interested positions and substitute services and maintaining up-to-date forms. E
  • Provide assistance with EdJOIN kiosk(s). E
  • Troubleshoot problems as they arise. E
  • Provide front counter/office coverage. E
  • Performs other related duties as assigned.


EDUCATION AND CREDENTIALS:

  • At least two years’ experience in general office work, preferably in a school district setting.
  • Graduation from high school or equivalent.


KNOWLEDGE SKILLS AND ABILITIES:


KNOWLEDGE OF:

  • General knowledge of the District as to personnel, school, departments, personnel policies and procedures.
  • Operations of recording and telephone equipment.
  • Modern efficient office methods, practices and procedures, including computer systems and application software.
  • Proper English usage, grammar, spelling, punctuation and vocabulary.
  • Pass District adopted clerical tests.


ABILITY TO:

  • Receive calls and to place substitutes quickly and efficiently; give information over the telephone rapidly and accurately.
  • Maintain positive public relations and communicate tactfully.
  • Handle all materials with discretion and confidentiality.
  • Establish and maintain effective work relationships with fellow employees, customers of the HR Office, and the general public.
  • Communicate effectively both orally and in writing.
  • Work independently with little direction.
