Job Summary
We are seeking a detail-oriented and organized Administrative Coordinator to join our team. The ideal candidate will provide comprehensive support to ensure efficient operation of the offices. You will be responsible for a variety of administrative tasks, including managing schedules, handling communications, and maintaining office organization. A strong customer service orientation and proficiency in office software are essential for success in this role.
Duties
- Manage and maintain executive calendars, including scheduling appointments and meetings.
- Serve as a point of contact for Practice Management, Human Resources and additional leadership team members, providing exceptional customer service.
- Handle phone systems efficiently, directing calls and taking messages as necessary.
- Assist with proofreading documents to ensure accuracy and professionalism.
- Utilize Google Suite for document creation, data entry, and spreadsheet management.
- Provide clerical support including filing, data entry, and maintaining office supplies.
- Collaborate with team members to improve processes and enhance office efficiency.
- Offer staff support by addressing inquiries and resolving issues promptly.
Requirements
- Proficiency in Spanish is preferred but not required.
- Previous experience in customer service or administrative roles is highly desirable.
- Familiarity with medical receptionist duties is a plus.
- Strong knowledge of phone systems and office equipment.
- Excellent proofreading skills with attention to detail.
- Proficient in Google Suite applications (Docs, Sheets, Drive).
- Proficient in Adobe
- Ability to manage multiple tasks while maintaining a high level of organization.
- Strong communication skills, both verbal and written.
- Experience with calendar management is essential.
- Travel to various clinic locations as needed.
