Job Statement:
The Registrar plays a critical role in supporting the school’s mission by ensuring the accuracy, integrity, and security of student academic records. Serving as a key resource for students, graduates, families, partner organizations, and internal stakeholders, the Registrar oversees transcript processing, records maintenance, enrollment documentation, and compliance with institutional policies and applicable regulations.
This position requires exceptional attention to detail, strong organizational skills, and a commitment to confidentiality and data accuracy. The Registrar works collaboratively across departments to facilitate efficient records management, resolve records-related inquiries, and support operational excellence within the Student Records Office. Through accurate recordkeeping and responsive service, the Registrar helps ensure a positive experience for students and stakeholders while maintaining the highest standards of academic record administration.
Position Responsibilities Include:
- Provide exceptional customer service to prospective students, current students, graduates, families, schools, employers, and partner organizations through phone, email, help desk tickets, and other communication channels, creating a positive and professional experience with every interaction.
- Serve as a primary point of contact for student records and transcript-related inquiries, responding professionally, accurately, and promptly.
- Answer incoming phone calls and assist callers with records requests, enrollment-related questions, program information, transcript processing, enrollment verification, and general school inquiries, providing accurate information or directing individuals to the appropriate department when needed.
- Monitor and respond to incoming emails and help desk tickets, ensuring timely resolution, accurate information, and appropriate follow-up.
- Process incoming and outgoing transcript requests accurately and in accordance with institutional policies and procedures.
- Review, maintain, and update student records to ensure accuracy, completeness, and compliance with school, state, accreditation, and institutional requirements.
- Utilize student information systems and transcript fulfillment platforms, including Learn Stage, Scribbles, Parchment, and other records management systems.
- Maintain the confidentiality and security of student information in compliance with FERPA and applicable privacy regulations.
- Monitor and maintain established turnaround times for transcript processing and records requests.
- Collaborate with Academic, Enrollment Services, Compliance, and other departments to resolve records-related issues and support student success.
- Verify graduation requirements, enrollment documentation, academic records, and other student information as needed.
- Assist with records audits, quality assurance reviews, and compliance initiatives to ensure data integrity and regulatory compliance.
- Support institutional reporting, document retention, and records management projects.
- Identify opportunities to improve processes, efficiency, and the overall student and stakeholder experience.
- Maintain a positive, professional, and solution-oriented approach when assisting students, families, and external stakeholders.
- Perform other duties and special projects as assigned.
Qualifications:
- Bachelor's degree in Education, Business Administration, Student Services, Communications, Psychology, or a related field preferred.
- Bilingual in English and Spanish preferred.
- Excellent verbal, written, and interpersonal communication skills.
- Experience working with students, families, or customers in an educational, administrative, or service-oriented environment.
- Strong knowledge of student records management, data entry, and administrative processes.
- Understanding of academic policies, enrollment procedures, graduation requirements, and compliance standards is preferred.
- Demonstrated ability to provide exceptional customer service while maintaining professionalism and confidentiality.
- Strong organizational skills with exceptional attention to detail and accuracy.
- Ability to effectively communicate complex information to students, parents, and stakeholders.
- Proactive problem-solving skills with the ability to identify issues, research solutions, and follow through to resolution.
- Experience working with teen and adult learners from diverse backgrounds.
- Strong telephone and virtual communication skills, with the ability to build rapport and address student needs effectively.
- Ability to manage multiple priorities, meet deadlines, and work independently in a fast-paced environment.
- Proficiency with student information systems, databases, CRM platforms, Microsoft Office, and Google Workspace preferred.
- Knowledge of FERPA regulations and student privacy requirements preferred.
Starting Salary: $60,000 - 65,000/year + benefits.
