The Regulatory Compliance Legal Assistant serves one or more companies within the United Heritage enterprise, performing work on diverse legal and compliance assignments of moderate scope or complexity, and exercising independent judgment and discretion. This position supports the legal and compliance team by conducting legal research, drafting documents, monitoring regulatory changes, assisting with policy implementation, and assisting with miscellaneous legal and compliance matters applicable to the United Heritage enterprise.
Primary Responsibilities
- Monitor, research, analyze, and summarize legal and regulatory requirements
- Analyze and update existing corporate, legal, and compliance policies and related documentation
- Manage compliance repositories developed by the Legal Department, including, but not limited to, the contract repository, compliance calendar, and eCPM
- Help in the development, review, and creation of new policies, procedures, training materials, and manuals
- Support the implementation, monitoring, and training of employees on legal and compliance policies and programs
- Work with various departments on compliance matters and to ensure adherence to regulations
- Support vendor due diligence processes, including screening and ongoing monitoring, to manage risk and ensure compliance
- Assist in the research, development, filing, negotiation, and approval process for policy forms/rates/rules
- Assist in tracking the review of marketing/advertising material
- Coordinate and track reviews of legal contracts, correspondence, and other documents
- Manage and organize legal and compliance records, maintaining both electronic and physical files
- Assist in responding to third-party subpoenas and record requests
- Manage agent appointment process, including all online agent appointment systems and document maintenance
- Maintain state licensing requirements manual and report pertinent changes
- Process agent terminations
- Submit required documentation, such as dividend declaration notices, surplus note documentation, officer change notices, and Secretary of State annual reports to state regulators
Additional Responsibilities
- Provide general legal and compliance support as requested
- Prepare miscellaneous year-end documents for accounting as requested
- Coordinate Legal Department meetings
- Compile Legal Department Board Reports
- Assist with audit requests, data calls, market conduct exams, and DOI reviews
- Support the coordination and management of the Legal Department budget
- Management of Legal Department vendor accounts
- Coding and processing Legal Department invoices
- Other duties as assigned
Knowledge and Skill Requirements
- Strong research, problem-solving, critical thinking, and analytical skills
- Advanced oral and written communication and interpersonal skills
- Strong attention to detail, accuracy, organization, and timeliness
- Ability to prioritize workload and flexibly change course
- Strong process improvement abilities
- Ability to work independently with minimal supervision, escalating non-routine issues with recommendations for solutions
- Proficiency with legal research software (Westlaw and/or Lexis/Nexis), Microsoft Office suite, insurance filing systems (SERFF and UCAA), and ability to learn company-specific systems
- Obtain (or be willing to) and maintain a Notary Public commission in good standing in Idaho

Preferred Qualifications
- Bachelor’s degree preferred
- Legal and regulatory compliance work experience preferred
- Knowledge of insurance industry processes, compliance regulations, and standards preferred
Working Conditions
Work is performed in an office environment. May sit for extended periods of time. Visual acuity to perform reading and computer functions.
