Brief description
The Rehab Funding Coordinator is responsible for managing patient files, verifying insurance coverage, and coordinating the documentation necessary for obtaining Complex Rehab equipment. This position requires excellent organizational skills, a thorough understanding of medical terminology, and the ability to communicate effectively with patients, medical professionals, insurance carriers, and internal teams to ensure timely and accurate service delivery.
Essential Functions
  • Maintain patient files and manage insurance documentation.
  • Verify insurance coverage for Complex Rehab equipment.
  • Accurately input orders into management software using quotes from the assigned ATP.
  • Generate required forms for insurance coverage or cash-pay quotes.
  • Collect and review LMNs and other medical documentation from physicians.
  • Ensure all equipment components are justified in medical documentation; request addendums if needed.
  • Obtain appropriate profit margins or communicate upgrades to patients.
  • Submit and track prior authorization requests as required.
  • Notify and collect co-insurance and non-covered item payments before delivery.
  • Communicate with patients and document correspondence in management software.
  • Follow up on documentation weekly to ensure timely service.
  • Collaborate with ATPs, management, and referrals as needed.
  • Address held billing promptly to avoid delays in claim submission.
  • Identify and recommend process improvements.
  • Adhere to all HIPAA, HQAA, and compliance regulations.
  • Attend educational workshops and training as assigned.
  • Perform additional duties as assigned by management.
Qualifications and requirements
  • High School or equivalent required.
  • Minimum of 3 years of directly related experience required.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and customer service abilities.
  • Exceptional organizational skills with keen attention to detail.
  • Proficiency in Microsoft Office Suite and Brightree software.

  • Commitment to ensuring accuracy and efficiency in task completion.
Physical Requirements
  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to lift up to 30 pounds occasionally.
  • Must be able to access all areas of the facility.
  • May require travel as necessary.
  • Frequent use of hands and fingers for typing, handling, and operating a computer keyboard, mouse, and telephone keypad.
  • Ability to see and read screens, documents, and small text on computer monitors or printed materials.
