We are seeking a proactive and detail-oriented (Remote) Chinese/English Speaking Assistant to support daily operations, communication, and administrative tasks. Responsibilities
- Manage calendar scheduling and coordinate appointments using Microsoft Outlook Calendar and Google Workspace tools
- Provide executive administrative support, including email correspondence, document proofreading, transcription, and data entry
- Assist with event planning logistics, including venue arrangements, attendee communication, and follow-up activities
- Handle phone etiquette professionally across multi-line phone systems and provide excellent customer service to clients and visitors
- Maintain organized filing systems, perform office management duties, and oversee general clerical tasks such as filing and document organization
- Support bookkeeping activities using QuickBooks, including basic data entry and record reconciliation
- Facilitate project coordination by tracking deadlines, preparing reports, and ensuring timely completion of tasks using Microsoft Office suite
- Use office experience skills such as office management, front desk duties, and office experience to streamline daily operations
- Manage personal assistant responsibilities like travel arrangements or personal scheduling as needed
Qualifications
- Proven experience in administrative roles or personal assistant positions with strong organizational skills
- Fluency in both Chinese and English (spoken and written) with excellent communication abilities
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, QuickBooks, and DocuSign for digital signing processes
- Demonstrated ability to handle multiple tasks efficiently in a remote work environment with minimal supervision
- Strong typing skills along with attention to detail for proofreading, transcription, and data entry tasks
- Knowledge of office management practices including filing systems, front desk operations, and multi-line phone systems
- Excellent phone etiquette combined with professional customer service skills
- Ability to adapt quickly to new tools or software platforms as required
