Remote Secretary / Receptionist (Work From Home)

This is a structured, work-from-home position with consistent hours during peak season and clear systems to help you succeed.

BlackBear Sprinkler Repair is one of the fastest-growing irrigation companies in Utah. We specialize exclusively in residential and commercial irrigation, and our growth is driven by high-quality service and a professional customer experience.

Because our technicians are in the field all day, our secretary plays a critical role in keeping operations organized and making sure every customer is taken care of from the very first interaction.

Pay & Schedule

  • Starting Pay: $15–$20 per hour (based on experience and performance)
  • Schedule: Monday–Friday, 9:00 AM – 5:00 PM
  • Position Type: Remote (Work From Home)

Seasonal Timeline

  • Start Date: Around April 1st
  • Full-Time Hours: April 1st – September 1st (consistent hours expected)
  • After September 1st: Hours may be reduced or the position may end depending on call volume
  • Season End: Around November 1st

This role is tied to our busy season, and we are primarily looking for someone who can fully commit during peak months (April–September).

Job Description

As a Secretary at BlackBear Sprinkler Repair, you are the first point of contact for customers and the voice of the company. You will be responsible for managing communication and scheduling while ensuring every customer has a smooth and professional experience.

Your responsibilities include:

  • Answer incoming phone calls and text messages
  • Schedule appointments using Jobber (CRM system)
  • Respond to customer inquiries across phone, text, email, and lead platforms
  • Collect and record accurate customer information
  • Set clear expectations for appointments (arrival windows, service type, pricing basics)
  • Monitor all communication channels throughout the day
  • Direct technical or complex questions to the appropriate team member
  • Send a daily report summarizing calls, messages, and leads

Work Expectations

This is a remote position, but it must be treated like an in-office role. During working hours, you are expected to be fully present, responsive, and organized.

You must:

  • Be ready to answer calls at 9:00 AM
  • Maintain a quiet, professional work environment
  • Stay attentive to all communication channels throughout the day
  • Schedule jobs accurately and take clear notes
  • Communicate in a friendly, calm, and professional manner

Weekly Team Meeting Requirement

  • Attend one weekly morning meeting (in-person)
  • Meetings are used for training, updates, and improving communication as a team
  • Consistent attendance is required

Qualifications & Prerequisites

  • Must be 18 years of age or older
