As part of the National Institutes of Health (NIH) Helping to End Addiction Long-term® Initiative, or NIH HEAL Initiative®, we’ve created the PURPOSE Network, a digital platform to connect pain researchers. PURPOSE stands for "Positively Uniting Researchers of Pain to Opine, Synthesize, & Engage", and that is exactly its goal: to connect pain researchers across the continuum of pain research, from all disciplines and at all career stages.
The PURPOSE Network is seeking a highly organized, detail-oriented Administrative Coordinator to support the day-to-day operations of a collaborative research, community, and volunteer-driven network. This role is ideal for someone who is diligent, proactive, dependable, and comfortable managing multiple administrative priorities in a fast-moving environment.
The Administrative Coordinator will work closely with the Principal Investigator, network committees, volunteers, and partners to help maintain online network systems, coordinate meetings and events, support communications, and ensure that network activities run smoothly.
Position Summary
The Administrative Coordinator will provide essential administrative and operational support for the PURPOSE Network. This person will help manage schedules, coordinate events and calls, maintain online network platforms, support committees and volunteers, and keep records, materials, and communications organized.
The successful candidate will be someone who notices details, follows through consistently, communicates professionally, and can help create structure across multiple moving parts.
Key ResponsibilitiesAdministrative and Scheduling Support
- Manage scheduling for the Principal Investigator, including meetings, calls, committee sessions, and network events.
- Coordinate calendars, send meeting invitations, prepare agendas, and track attendance.
- Assist with planning virtual and in-person meetings, webinars, trainings, and community/network events.
- Prepare and distribute meeting materials, minutes, summaries, and follow-up action items.
- Track deadlines, deliverables, and next steps to ensure timely follow-through.
Online Network Maintenance
- Help maintain the PURPOSE Network’s online platforms, databases, directories, shared drives, mailing lists, and communication tools.
- Update website or online network content as needed, including events, resources, member information, announcements, and committee materials.
- Organize digital files and ensure documents are clearly labeled, current, and easy to access.
- Support basic troubleshooting and coordination with technical or communications staff when needed.
- Ensure online information is accurate, professional, and consistently maintained.
Committee and Volunteer Support
- Provide administrative support to network committees, working groups, and volunteer teams.
- Help onboard volunteers and committee members by sharing materials, schedules, expectations, and key contacts.
- Track committee rosters, participation, assignments, and follow-up items.
- Support communication between the Principal Investigator, committee leads, volunteers, partners, and network members.
- Help maintain a positive, organized, and responsive experience for volunteers and collaborators.
Communications and Coordination
- Draft, format, and send emails, reminders, newsletters, announcements, and meeting follow-ups.
- Respond to routine inquiries professionally and direct questions to the appropriate team member when needed.
- Maintain contact lists and assist with outreach to network members, partners, speakers, and volunteers.
- Support preparation of reports, presentations, event materials, and internal updates.
- Serve as a reliable point of coordination across multiple network activities.
Qualifications
- Prior experience in administrative support, project coordination, program support, nonprofit administration, academic/research administration, or a related role.
- Strong attention to detail and a proven ability to stay organized.
- Excellent written and verbal communication skills.
- Comfortable scheduling meetings, managing calendars, preparing agendas, and tracking follow-up items.
- Experience supporting committees, volunteers, community groups, research teams, or collaborative networks preferred.
- Ability to manage multiple priorities and deadlines with minimal supervision.
- Professional, reliable, discreet, and responsive.
- Proficiency with common online tools such as Google Workspace, Microsoft Office, Zoom, shared drives, email platforms, and project management tools.
- Ability to learn new systems quickly and maintain accurate online information.
- Interest in supporting mission-driven, collaborative, community-centered, or research-based work.

Preferred Experience
- Experience working with a research network, university program, nonprofit organization, public health initiative, community coalition, or volunteer-led organization.
- Experience coordinating virtual events, webinars, committee meetings, or multi-stakeholder calls.
- Familiarity with CRM systems, email marketing tools, website content management systems, or online community platforms.
- Experience taking meeting minutes and tracking action items.
Work Environment
This role may involve regular communication with the Principal Investigator, committee members, volunteers, community partners, and network participants. The position requires strong organizational habits, comfort with online systems, and the ability to manage recurring administrative tasks while also responding to emerging needs.

Pay: $62,000.00 - $75,000.00 per year
