Location: Albertville, AL • Schedule: Full‑time, on‑site only
Compensation: $16.50 - $20.00Start: ASAP

About us
We are a third‑party administration (TPA) firm that supports employers with the day‑to‑day and annual administration of retirement plans (e.g., 401(k), profit sharing, cash balance). We partner with payroll providers, recordkeepers, and advisors to keep plans compliant and running smoothly.

Role snapshot
This is an entry‑to‑mid level, on‑site role ideal for someone with strong Excel, solid analytical skills, and working knowledge of accounting and payroll. Prior retirement plan administration experience is nice to have but not required—we will train the right person. We are not considering remote arrangements for this position.

What you’ll do

  • Data & Excel work (daily): Import/validate payroll files; cleanse and reconcile large data sets; build and maintain spreadsheets (e.g., pivot tables, lookups, SUMIFS, data validation).
  • Participant & payroll support: Track deferrals and employer contributions; help resolve payroll coding issues (pre‑tax/Roth/after‑tax); maintain accurate employee census data.
  • Annual plan administration (with training): Assist with year‑end data requests, census scrubs, and preparation for compliance testing and employer contributions.
  • Filings & deliverables: Help compile information for Form 5500/8955‑SSA packages and participant notices; maintain checklists and documentation.
  • Client coordination: Communicate professionally with HR/payroll contacts, recordkeepers, and advisors to gather information and close open items.
  • Quality & controls: Follow procedures, protect confidential data, and help improve checklists/templates for efficiency and accuracy.

What you’ll bring (must‑haves)

  • Excel proficiency: Comfortable with large datasets, pivot tables, VLOOKUP/XLOOKUP, SUMIFS/COUNTIFS, IF/AND/OR, text/date functions, filters, and basic error‑checking.
  • Analytical mindset & accuracy: You enjoy solving data puzzles and catching discrepancies before they become issues.
  • Accounting & payroll basics: Reconciliations, debits/credits, gross vs. net pay, pre‑tax vs. Roth, employer match concepts; comfort reading payroll reports.
  • Communication & organization: Clear written/verbal communication; can manage multiple deadlines with strong attention to detail.
  • On‑site availability: Able to work in our [City] office (no remote/hybrid).

Nice to have (bonus points)

  • Experience in retirement plan administration (401(k), 403(b), profit sharing, cash balance) or exposure to TPA/recordkeeping environments.
  • Familiarity with HRIS/payroll exports and file formats (CSV, TXT) and/or basic database concepts.
  • Experience with any retirement/TPA software (e.g., ASC, ftwilliam, Relius, Datair) or ticketing/workflow tools.

Training & growth

We provide structured training in plan operations, annual administration cycles, and industry software. Successful assistants can progress to Plan Administrator/Analyst roles with client ownership and greater technical scope.

Work hours & peak seasons

Standard business hours with occasional overtime during annual administration and filing peaks (generally Q1 and Q3).
