Job Title: RFP Specialist

Job Summary
We are looking for a detail-oriented and organized RFP Specialist to lead the end-to-end process of preparing and submitting responses to Requests for Proposals (RFPs), Requests for Information (RFIs), and other formal bid requests. This role is critical in ensuring high-quality, timely, and compliant proposal submissions that align with both client expectations and company standards. You'll collaborate with cross-functional teams to gather content, manage timelines, and craft compelling proposals that showcase our strengths and capabilities.
Key Responsibilities
RFP/RFI Management
- Review and interpret RFPs, RFIs, and related bid documents to understand client needs and submission requirements.
- Create and manage proposal timelines, ensuring all deliverables are met on schedule.
- Coordinate input from departments including sales, marketing, legal, and subject matter experts.
- Tailor each proposal to align with the client’s specific needs and compliance requirements.
- Support pricing strategy development in line with company goals.
Proposal Content Development
- Draft, edit, and proofread proposal content for clarity, consistency, and persuasiveness.
- Develop strong narratives that communicate the company’s value proposition and differentiators.
- Maintain and update a library of proposal templates, case studies, and reusable content.
- Collaborate with SMEs to gather technical, financial, and legal details.
Cross-functional Collaboration
- Act as the primary internal point of contact for all RFP-related matters.
- Work closely with internal stakeholders to ensure content accuracy and strategic alignment.
- Manage internal review and approval workflows prior to submission.
Submission & Follow-up
- Submit proposals on time via the appropriate channels (online portals, email, or physical delivery).
- Track the progress and outcomes of submitted proposals, reporting updates to leadership.
- Handle post-submission queries and provide any additional information requested by clients.
Continuous Improvement
- Analyze proposal success rates and gather feedback to optimize future submissions.
- Build and maintain a knowledge base of FAQs, standard responses, and client-specific preferences.
Qualifications
Education:
- Bachelor’s degree in Business, Marketing, Communications, or a related field.
Experience:
- 1–2 years of experience in RFP/proposal management, business development, or a related role.
Key Skills:
- Strong written and verbal communication skills.
- Excellent organizational and project management abilities.
- Ability to manage multiple projects simultaneously under tight deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- High attention to detail and quality.
- Strong interpersonal skills for collaboration with both internal teams and clients.
- Knowledge of current best practices and trends in proposal and bid management.
Preferred:
- Experience using proposal management software/tools.
- Background in industries such as IT, healthcare, or construction.
- Experience with complex or large-scale proposal submissions.
