Role Summary
The RN & Clinical Coordinator ensures smooth and efficient clinical operations while also providing hands on nursing and wellness services. She supports nursing, reception, patient experience pathways, documentation, clinical flow, and has DHA compliance oversight. She plays a part in ensuring the clinic functions at a premium standard at all times. Must be fluent in English, have a strong service mindset and excellent clinical competence in IV therapy/ aesthetic procedures and regenerative interventions.
Nursing and Wellness Services
- Perform IV therapy & regenerative wellness procedures as part of routine RN duties
- Work as a RN in the clinic as well as within the home care segment
- Attend VIP clients for their services in clinic as well as via the home care department
- Support physicians during procedures during high volume clinic days as dermatology appointed nurse
- Step into full time nursing rotation during sick leave/ vacation gaps
- Maintain patient safety and comfort while delivering high standard care
- Ensure treatment areas are prepared, stocked, and ready at all times
Team Coordination
- Oversee Head Nurse and Reception Supervisor in daily execution of tasks
- Monitor performance, professionalism, grooming standards, and workflow discipline
- Ensure team cooperation, smooth communication, and strong internal culture, lead by example
- Assist the Head Nurse and the Reception Supervisor with scheduling support when needed for balanced patient flow
DHA Compliance Oversight (Supporting Head Nurse & Medical Director)
- Monitor compliance processes and documentation across clinical and reception areas
- Ensure reception documentation meets DHA standards (registration, consent, notes)
- Support Head Nurse and Medical Director during inspections or licensing checks
- Oversee that the Head Nurse conducts quarterly compliance audits
- Review patient documentation weekly to ensure accuracy and completeness
- Maintain SOP alignment with DHA standards and escalate gaps to Medical Director and management team
Reception Oversight and Customer Journey
- Work closely with the Reception Supervisor to ensure smooth work flow
- Ensure consents, IDs and mandatory personal information are captured correctly in the EMR
- Monitor waiting time experience, escalation handling, VIP patient requirements
- Improve operational flow by identifying service gaps
Operations and Clinic Coordination
- Ensure readiness of clinic operations, room prep, equipment availability, consumable control
- Coordinate with housekeeping team and driver for operational support
- Assist with procurement communication for stock levels and medical consumables, ensure that Head Nurse and Reception Supervisor submits material requests aligned with clinic protocols
- Make sure that incident reports are being filled out in a timely manner and sent to management as soon as possible
- Oversee the compliance of logbooks, checklists, escalation notes, daily handovers
Training and Staff Files Induction training will be conducted by CEO/ HR/ Medical Director/ GP Wellness etc. The Clinical Coordinator will:
- Ensure training is completed, documented, signed off, and filed in the staff folder
- Maintain updated staff competency and compliance folders (support Head Nurse)
- Track missing documents, renewals, or expired credentials and escalate accordingly (support Head Nurse)
- Maintain onboarding/ refresher compliance checklists
Quality and Audit Responsibilities Infection control audits and monitoring remain the responsibility of the Head Nurse. The RN & Clinical Coordinator instead leads:
- Documentation audits
- Customer journey experience audits
- Professionalism & grooming checks
- Service quality & patient experience scoring
- SOP adherence and operational implementation checks
Reporting and Deliverables to CEO The RN & Clinical Coordinator will provide reports such as: Weekly
- Brief clinical operations summary, team effort, compliance and escalations (if any)
- Workforce updates (attendance, leave, concerns)
- Issues/ complaints that require leadership intervention, urgent issues should be reported to management immediately
- Actively participates in weekly clinic meetings held by the CEO, prepares and presents new updates to the team and presents findings from completed audits
Monthly
- Full operational audit report (documentation + workflow + customer journey)
- Summary of clinical improvements/ trends
- Report of renewal deadlines and staff file compliance should be shared with CEO and HR
- Observation and action list for the clinic
Standing Expectations
- Attend weekly meetings with CEO and/or full management meetings.
- Attend compliance review or DHA preparation sessions
- Maintain high professional grooming and communication standards
- Keep updated with new circulars from DHA on a weekly basis
Qualifications
- BSN / Registered Nurse with active DHA license
- Experience in wellness/ IV therapy/ aesthetic nursing preferred
- Fluent in English
- Proficient computer skills (Excel, Word, data entry and clinical documentation systems) with the ability to create and maintain audits, checklists and operational reports
