Roofing Permit and Inspection Coordinator

Job Summary:
We are a growing roofing and construction company seeking a dependable and detail-oriented Permit Runner & Administrative Coordinator to support our daily operations. This role is responsible for handling permit submissions, coordinating inspections, managing HOA application processes, and assisting with general administrative tasks to ensure projects move smoothly from start to finish.

The ideal candidate is organized, proactive, and comfortable working with city building departments, HOAs, project managers, and homeowners.

Key Responsibilities:

Permit Management:

  • Prepare, submit, and pick up building permits from local municipalities
  • Track permit status and follow up on approvals or corrections
  • Coordinate and schedule inspections
  • Maintain accurate records of permits and related documentation
  • Communicate with city officials regarding revisions or requirements

HOA Applications:

  • Prepare and submit HOA architectural review applications
  • Gather required documents (contracts, product approvals, color selections, insurance, etc.)
  • Follow up with HOA boards and management companies
  • Track approval timelines and update project managers and homeowners
  • Ensure compliance with HOA guidelines and requirements

Administrative Duties:

  • Maintain organized digital and physical files
  • Answer phones and assist customers when needed
  • Support project managers with documentation and scheduling
  • Scan, upload, and manage contracts and compliance documents
  • Assist with general office operations

Qualifications:

  • Valid driver’s license and reliable transportation
  • Clean driving record
  • Strong organizational and multitasking skills
  • Excellent communication skills (written and verbal)
  • Ability to meet deadlines and follow up consistently
  • Basic computer skills (Microsoft Office, email, document uploads)
  • Experience with construction permits or HOA processes preferred
  • Experience in roofing or construction industry is a plus

Work Environment:

  • Combination of office and field work
  • Frequent travel to city/county building departments and HOA offices
  • Fast-paced construction environment

Job Type: Full-time

Pay: $24.84 - $29.91 per hour

Expected hours: 40 per week
