Safety & HR Manager
Location: South Carolina
Industry: Trucking & Transportation
Schedule: Full-Time | Monday–Friday | On-Call Availability Required
We are seeking an experienced, organized, and dependable Safety & HR Manager to oversee driver compliance, human resources, DOT safety regulations, insurance coordination, and fleet administrative operations for a growing trucking company. This position requires strong communication skills, attention to detail, and the ability to manage multiple responsibilities in a fast-paced transportation environment.
This role requires regular office hours Monday through Friday, as well as 24/7 on-call availability to assist drivers and dispatchers when needed, including evenings and weekends.
Key ResponsibilitiesDriver Hiring & Onboarding
- Manage all driver hiring processes from application to onboarding
- Review driver applications, MVRs, PSPs, Clearinghouse reports, medical cards, and related compliance documents
- Coordinate pre-employment drug screenings and consortium enrollment
- Obtain and verify previous employment history for DOT compliance
- Complete new hire paperwork for owner operators and company drivers
- Review lease agreements, pay structures, deductions, and company policies
- Set up fuel cards, ELD systems, driver apps, and truck documentation
- Coordinate DOT decals and equipment setup
Safety & DOT Compliance
- Maintain driver qualification files and ensure all documentation remains current
- Maintain truck and trailer files including registrations, inspections, insurance certificates, maintenance records, and tax documents
- Manage DOT compliance renewals including IRP, IFTA, SCAC, MC150, KYU, and NY HUT
- File quarterly fuel tax reports and other regulatory filings
- Schedule and manage random drug and alcohol testing programs
- Monitor driver logs and Hours of Service compliance
- Run annual MVRs, PSPs, and Clearinghouse reviews
- Maintain knowledge of FMCSA regulations, SMS scores, and DataQ systems
Insurance & Claims Management
- Coordinate with insurance agencies to maintain proper coverage for drivers and equipment
- Manage workers compensation reporting and monthly filings
- Handle accident response procedures and insurance claims
- Assist with insurance renewals and audits
- Ensure drivers and equipment are added or removed from insurance policies as needed
Operations Support
- Assist with roadside maintenance coordination when needed
- Arrange substitute trucks or equipment during breakdowns or emergencies
- Work closely with dispatch, drivers, vendors, and service providers
- Coordinate with partners including Samsara, Comdata, Penske, JJ Keller, and related vendors
Administrative & Financial Support
- Maintain organized and accurate records
- Assist with credit card entry and expense coding in QuickBooks
- Support office operations and reporting as needed
Qualifications
- Previous experience in trucking safety, transportation HR, or DOT compliance preferred
- Strong knowledge of FMCSA and DOT regulations
- Experience with IRP, IFTA, Clearinghouse, HOS compliance, and driver qualification files
- Excellent organizational and multitasking abilities
- Strong communication and problem-solving skills
- QuickBooks knowledge is a plus
- Ability to remain calm and responsive in emergency situations
