The Safety Assistant will support the Safety & Compliance department to ensure all drivers, equipment, and company operations meet provincial, federal, and U.S. regulatory requirements. Primary responsibilities include:
1. Driver Compliance & Monitoring
- Maintain and update driver qualification files, including licenses, abstracts, medicals, training records, and safety certificates.
- Monitor Hours of Service (HOS) and ELD logs for violations, missing logs, and unassigned drive time.
- Communicate with drivers regarding corrective actions and ensure timely completion.
- Assist in onboarding new drivers, collecting documentation, and issuing company policies.
2. Safety Program Administration
- Assist in updating and distributing company safety policies and procedures.
- Track safety training requirements and schedule driver training sessions.
- Maintain records for COR/NSC audits and safety program compliance.
- Help prepare safety reports, incident statistics, and audit documentation.
3. Incident & Violation Management
- Record and track incidents, near-misses, vehicle damage, and traffic violations.
- Assist with incident investigations by gathering statements, photos, and required information.
- Follow up with drivers and management regarding corrective actions and retraining.
4. Equipment Compliance
- Maintain vehicle files including CVIP, PM (preventive maintenance), repairs, and service records.
- Track due dates for inspections, maintenance, registrations, and insurance.
- Communicate with shop/maintenance team to ensure timely repairs and safety compliance.
5. Fuel, Yard & Operational Support
- Assist with fuel card management, tracking fuel usage, and monitoring irregular activity.
- Support yard safety checks, parking logs, and equipment organization.
- Help coordinate communication between office, drivers, dispatch, and operations.
6. Administrative & Reporting Duties
- Prepare safety reports, spreadsheets, and compliance summaries for management.
- Maintain organized electronic and physical safety files.
- Respond to emails, calls, and driver inquiries related to safety and compliance.
- Assist with preparation for internal and external audits (NSC, DOT, COR, insurance).
