SalSon Logistics is seeking a highly professional and results-driven Sales Executive Assistant / Bid Coordinator to support our Vice President of Sales and Business Development team.
This is not a traditional administrative role. We are looking for a business-minded professional who can manage complex sales initiatives, coordinate customer proposals, oversee RFP and bid submissions, analyze opportunities, and help drive revenue growth throughout our nationwide transportation and logistics network.
The ideal candidate thrives in a fast-paced environment, possesses exceptional organizational skills, and can effectively communicate with executives, customers, and operational leadership.
What You'll Do
Executive Sales Support
- Serve as the primary support partner to the VP of Sales
- Manage calendars, meetings, customer presentations, and strategic initiatives
- Prepare executive reports, presentations, and sales performance metrics
- Coordinate customer visits, facility tours, and business review meetings
- Track sales activities, pipeline updates, and key performance indicators
Bid & Proposal Management
- Manage the end-to-end RFP, RFQ, and bid submission process
- Coordinate responses across Operations, Finance, Safety, and Leadership teams
- Gather pricing, service, operational, and compliance information required for proposals
- Maintain a library of proposal content, customer references, and supporting documentation
- Ensure all bid submissions are completed accurately and submitted on time
Business Development Support
- Research prospective customers and market opportunities
- Assist with sales forecasting and pipeline reporting
- Track customer opportunities from initial contact through implementation
- Prepare customer presentations, pricing summaries, and account analyses
- Support onboarding and implementation of new business opportunities
Cross-Functional Collaboration
- Work closely with Operations, Customer Service, Finance, Recruiting, and Safety teams
- Assist in identifying process improvements that enhance customer experience
- Support special projects and executive initiatives as assigned
Qualifications
- 3+ years of executive support, sales support, business development, proposal management, or logistics experience
- Transportation, logistics, supply chain, warehousing, trucking, or freight industry experience strongly preferred
- Experience managing RFPs, RFQs, bids, proposals, or contract documentation preferred
- Advanced proficiency with Microsoft Excel, PowerPoint, Word, and Outlook
- Strong analytical and reporting skills
- Exceptional written and verbal communication abilities
- Ability to manage multiple priorities and deadlines simultaneously
- Professional presence with executive-level communication skills
