Job Purpose
To ensure the efficient and accurate management of daily sales orders and coordination with the packing team, while maintaining reporting, issue tracking, and internal controls to support the commercial operations.
Key Responsibilities
1. Daily Order Management
Process and verify daily sales orders received from clients and internal stakeholders.
Ensure all orders are accurately entered into the system and communicated to the packing department in a timely manner.
2. Harvest vs Order Reconciliation
Perform daily checks comparing total harvested products against confirmed sales orders.
Identify and report any shortages, coordinating with harvest or packing teams to find immediate solutions.
3. Coordination with Packing Team
Share updated order lists daily with the packing department.
Ensure alignment between harvested volumes, packing quantities, and delivery commitments.
4. Follow-up on Deliveries and Logistics Coordination
Monitor the delivery status of orders and coordinate with logistics to resolve any delays or discrepancies.
Confirm order receipt with clients when needed, especially in case of claims or complaints.
5. Incident Tracking and Resolution
Record and follow up on issues such as missing items, damaged goods, or product returns.
Maintain a detailed log by client and branch for root cause analysis and performance monitoring.
6. Product and Customer Analysis
Analyze product performance and trends by branch and client.
Track supply consistency and customer specific issues to support account management and improve service.
7. Reporting and Documentation
Prepare weekly reports on sales, deliveries, product damages, and other KPIs.
Generate ad hoc reports as required by the Commercial Manager.
Maintain proper filing of order records, claims, and reports for audit and traceability.
8. Process Improvement
Identify inefficiencies or recurrent issues in the order to delivery process.
Propose solutions to streamline communication and operations across departments.
9. Support in Forecasting and Campaign Planning
Assist in collecting and organizing historical sales and supply data.
Provide structured input to facilitate seasonal planning and customer demand forecasting.
10. Proactive Problem Solving
Take initiative in flagging problems early and propose corrective actions.
Actively collaborate with commercial, logistics, and packing teams to maintain service excellence.
Qualifications & Skills:
Bachelor’s degree in Business Administration, Supply Chain, or a related field.
Minimum 2 years of experience in sales support, supply coordination, or administrative roles (preferably in fresh produce or FMCG).
Strong organizational and communication skills.
Advanced MS Excel and data management skills.
Ability to work under pressure, prioritize tasks, and meet deadlines.
Preferred Skills
Knowledge of fresh produce operations, shelf life, and packing processes.
Experience dealing with clients, claims, and delivery follow up.
Fluency in English; Arabic is a plus.
