Role Description
We are looking for a full-time Sales Administrator to join our growing team:
Key Responsibilities
1. Support sales agents throughout the sales process, from listing to deal closure.
2. Prepare and manage sales documentation including:
a. Listing Forms (Form A, B, F)
b. MOUs
c. Offer letters
d. Booking forms
3. Coordinate with agents, clients, developers, and internal teams to ensure timely completion of transactions.
4. Track deal progress and follow up on pending documentation.
5. Maintain accurate records of leads, clients, listings, and deals in the CRM system.
6. Ensure all data is updated, verified, and compliant with company standards.
7. Generate weekly and monthly sales reports for management.
8. Apply for Trakheesi permits and coordinate with the marketing team for high quality property listings on Bayut, Property Finder, and Dubizzle.
9. Schedule property viewings and assist agents with client coordination and documentation.
10. Liaise with developers, banks, trustee offices, and legal entities for NOC requests and smooth title transfer processes.
11. Support agents with RERA broker exam requirements and manage broker card applications/renewals.
12. Upload and update property listings on CRM and property portals (Bayut, Property Finder, Dubizzle, etc.)
13. Coordinate with marketing team for:
a. Property listings
b. Floor plans
c. Photography and marketing materials
14. Ensure listings are accurate, compliant, and aligned with RERA guidelines.
15. Ensure all sales documentation complies with RERA and AML regulations.
16. Coordinate with compliance and operations teams for approvals and audits.
17. Maintain organized digital and physical filing systems for all sales records.
18. Support Sales Managers with scheduling, reporting, and team coordination.
19. Handle internal and external correspondence related to sales transactions.
Requirements:
1. Bachelor’s degree or relevant administrative qualification (preferred).
2. 2–5 years of experience as a Sales Administrator or Admin role in real estate (UAE experience preferred).
3. Familiarity with RERA procedures, property portals, and developer documentation.
4. Strong knowledge of Dubai real estate sales processes and documentation.
5. Excellent organizational and time-management skills.
6. High attention to detail and accuracy.
7. Proficiency in CRM systems and MS Office (Excel, Word, Outlook).
8. Strong communication and coordination skills.
9. Ability to work under pressure and manage multiple priorities.
