Sales Administrator @ Fort Myers Marine
Fort Myers Marine is seeking a highly organized, detail-oriented, and customer-focused Sales Administrator to support our growing sales operation. This role serves as a critical link between the sales team, customers, lenders, manufacturers, and internal departments to ensure a seamless purchase and delivery experience.

Key Responsibilities:
Sales & Deal Administration
- Assist in Preparation and processing of boat purchase agreements, buyer’s orders, finance paperwork, title documents, registration packets, and delivery documentation
- Audit deal jackets for completeness and compliance before funding or delivery
- Assist with photography and written copy for boat MLS software
- Coordinate with lenders, insurance providers, manufacturers, and customers to obtain required documentation
- Verify accuracy of pricing, options, taxes, fees, incentives, trade values, and funding requirements
- Track deal progress from deposit through final delivery
- Ensure all customer signatures, disclosures, and compliance documents are completed properlyCustomer Experience
- Serve as a professional point of contact for customers throughout the sales and delivery process
- Coordinate customer communication regarding paperwork, funding status, registration, and delivery scheduling
- Assist with customer onboarding and ownership orientation scheduling
- Support post-sale follow-up and customer satisfaction initiatives
Inventory & Manufacturer Coordination
- Assist with boat ordering, inventory tracking, and status updates
- Coordinate with manufacturers regarding build sheets, MSOs, warranty registration, and shipping schedules
- Maintain accurate records of incoming and sold inventory
- Assist with floorplan documentation and payoff tracking as needed
CRM & Administrative Support
- Maintain accurate customer and prospect records within CRM systems
- Assist the sales team with lead management, appointment coordination, and reporting
- Support preparation of quotes, option sheets, and proposal documents
- Organize and maintain digital and physical deal files
- Assist with event preparation, demo days, and customer outreach campaigns
Compliance & Accuracy
- Ensure all transactions comply with dealership policies, lender requirements, and applicable state and federal regulations
- Maintain confidentiality of customer financial and personal information
- Identify and resolve documentation discrepancies proactively
- Support accounting and management with reporting and audit preparation
Qualifications
- Previous dealership, marine, automotive, RV, powersports, finance, or administrative experience preferred
- Strong organizational skills with exceptional attention to detail
- Ability to manage multiple transactions and deadlines simultaneously
- Professional written and verbal communication skills
- Strong computer proficiency including Microsoft Office, CRM systems, and digital document management
- Ability to work independently while supporting a team-oriented environment
- Positive attitude with a customer-first mindset
Preferred Experience
- Marine dealership or boat sales administration experience,
- Knowledge of titling, registration, financing, and lender documentation
- Familiarity with Yamaha, Mercury, Garmin, and marine industry terminology
- Experience with dealership management software and CRM platforms
