Sales and Executive Assistant

Job Overview
We are a small Family-owned manufacturer of custom wood windows. Our beautiful windows are hand-built for Homes in historic districts. We are seeking a dynamic and highly organized Sales and Executive Assistant to join our team! This energetic role is vital in supporting our sales initiatives and executive leadership, ensuring timely responses to customer inquires and seamless communication across all levels. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional administrative skills, proactive project coordination, and a passion for delivering outstanding customer service. If you are detail-oriented, tech-savvy, and eager to contribute to a thriving organization, this position offers an exciting opportunity to grow professionally while making a meaningful impact. Initial schedule expected to be 3 days a week, but a full-time role is likely in the future.

Responsibilities

  • Provide direct and comprehensive administrative support to the sales teams and executive leaders, including calendar management.
  • Provide efficient quotes by phone and using our data entry.
  • Coordinate projects by tracking deadlines.
  • Support document preparation through proofreading, transcription, and the use of tools like ERP Systems.
  • Maintain excellent customer service standards by managing phone systems and responding promptly to inquiries via Google Workspace and Microsoft Office applications.
  • Qualifications
  • Proven experience administrative support roles with a focus on executive assistance or personal assistant duties.
  • Strong organizational skills with the ability to multitask efficiently in a busy manufacturing environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Office software Workspace tools docs, Sheets and slides and ERP systems is a must.
  • Experience with project coordination, data entry, filing, and clerical work.
  • Knowledge of multi-line phone systems, calendar management (including Microsoft Outlook Calendar), and office systems
  • Exceptional communication skills with professional phone etiquette and customer service orientation.
  • Knowledge of manufacturing and windows
  • Ability to handle confidential information discreetly while maintaining high accuracy in data entry and record keeping.
