Sales and Finance Coordinator

Position Summary
The Sales and Finance Coordinator supports both the sales and finance functions by managing administrative processes, coordinating customer accounts, preparing financial documentation, and ensuring accurate reporting. This role requires strong organizational skills, attention to detail, and the ability to collaborate across departments to support business operations and customer satisfaction. The right candidate will be someone proactive, reliable, and willing to learn.
Key Responsibilities
Sales Coordination
- Attend and participate in sales meetings to support the overall sales department
- Facilitate the setup of new students, enter sales revenue and payment plans into Hubspot, and ensure accurate data entry and compliance with company procedures
- Support the sales team with quotations, invoices and payment links
- Maintain and update Hubspot and Airtable, ensuring accurate customer, sales, and financial data
- Assist with the maintenance of customer records, sales databases, and CRM systems
- Coordinate communication between sales representatives, customers, and internal departments
- Assist with the entry of lead data and updates as needed, assist with the tracking of the student journey, and ensure lead follow-up cadences as requested
- Ensure accuracy of customer data post-sale for efficient delivery to the service delivery team
- Respond to various top funnel leads to support the sales teams’ efforts
Finance Coordination
- Track and manage multi-year payments, collect failed payments and manage credit databases for students
- Monitor refunds and process payouts
- Reconcile weekly sales transactions and assist with month-end reporting
- Generate monthly and quarterly reports for revenue recognition and sales commission calculations
- Provide deferred revenue reports to the accounting and finance department for monthly reconciliation and budget forecasting
- Ensure compliance with company financial policies and procedures
Administrative Support
- Assist with process improvements and operational efficiencies
- Communicate across teams to address any payment and answer billing inquiries.
- Collaborate cross-functionally with sales, marketing, and finance teams to align objectives and help streamline operations
- Perform other administrative duties as assigned
Qualifications
- Associate’s or Bachelor’s degree in Business Administration, Finance, Accounting, or related field preferred
- 2+ years of experience in sales support, finance administration, or coordination roles
- Proficiency in Google Sheets and Excel
- Experience with CRM systems Hubspot preferred
- Strong numerical, analytical, and organizational skills
- Excellent written and verbal communication abilities
- Ability to manage multiple priorities and meet deadlines
Position Type
- This is a full-time position expected to complete 40 hours per week.

Compensation & Benefits
- Salary range $60,000 - $65,0000;
- Eligible for full-time company benefits (e.g. health/dental insurance, 401k benefits, etc.)
Pay: $60,000.00 - $65,000.00 per year
