POSITION OVERVIEW:

The Sales and Operations Coordinator is a hybrid role responsible for performing both sales coordination and transportation dispatch functions. This position supports revenue generation through client relationship management, quoting, and order processing, while also ensuring the efficient scheduling, dispatching, and oversight of drivers and charter operations.

The incumbent is responsible for coordinating between clients, sales, and operations to ensure that all charter services are executed accurately, safely, and in accordance with contractual obligations, company standards, and applicable regulatory requirements. This role requires adherence to Sun Diego Charter’s commitment to safety, operational excellence, and exceptional customer service in all aspects of its work.

SALES RESPONSIBILITIES

(Approximately 60% of the time)

  • Receive, review, input, and follow up on client quote requests and sales orders in a timely and accurate manner.
  • Perform quality control checks on advance bookings to ensure completeness and accuracy of all required information.
  • Coordinate payment collection and processing in accordance with Company policies.
  • Enter and maintain detailed trip itineraries and client requirements within dispatch and/or reservation systems.
  • Maintain and update pricing structures, rate sheets, and related documentation.
  • Support the development and execution of key account management strategies.
  • Establish, develop, and maintain positive business and client relationships to support retention and growth.
  • Conduct client follow-ups and business reviews to assess satisfaction and identify opportunities for improvement.
  • Generate and support referral-based business through existing client networks.
  • Coordinate with Operations to ensure all contracted services and client expectations are met.
  • Monitor market conditions, including competitor pricing, services, and trends, and report findings as appropriate.
  • Provide general administrative and operational support to the Sales department as needed.

DISPATCH AND OPERATIONS RESPONSIBILITES

(Approximately 40% of the time)

  • Schedule, assign, and dispatch drivers to routes and charter assignments in accordance with operational needs and service requirements.
  • Conduct driver check-ins, communicate daily assignments, and address operational questions or concerns.
  • Monitor driver activity, including route progress, time reporting, re-routing, delays, and completion status, using GPS and communication systems.
  • Communicate with drivers via approved methods in compliance with applicable laws, including Federal Motor Carrier Safety Regulations (FMCSRs).
  • Document operational activities ensuring accuracy and completeness.
  • Ensure compliance with all applicable federal, state, and local regulations, as well as Company policies and safety standards.
  • Coordinate and communicate with clients, internal departments, and third-party vendors regarding service changes, delays, or incidents.
  • Provide immediate support to drivers in the event of accidents or emergencies and escalate to management as required.
  • Verify completion and accuracy of required driver documentation, including but not limited to driver logs, EDVIRs, work orders, and inspection reports; report noncompliance as appropriate.
  • Assist with data entry, including passenger counts and operational reporting.
  • Confirm that vehicles are properly prepared for service, including cleanliness, safety, and readiness, and coordinate with Maintenance and Facilities as needed.
  • Support operational planning, process improvements, and departmental goals in collaboration with leadership.

GENERAL RESPONSIBILITIES

  • Maintain professional and courteous interactions with clients, employees, and business partners.
  • Exercise sound judgment in coordinating competing priorities between sales and operational demands.
  • Perform additional duties, projects, or assignments as directed by management.

EDUCATION AND EXPERIENCE:

  • High school diploma or equivalent required.
  • Minimum one (1) year of experience in sales, hospitality, customer service, or a related field required.
  • Minimum one (1) year of dispatching experience in transportation or a similar industry preferred.

Pay Rate:
The hourly wage that Sun Diego Charter reasonably expects to pay for the dispatcher position is $26/hr.

Work Schedule:

Sales: Tuesday through Thursday: 9:30 am to 6:00 PM

Operations: Sunday and Monday: 1:00 pm to 9:30 PM

Friday and Saturday OFF
