Sales Coordinator

Position Summary

The Sales Coordinator plays a key support role within the DFS Fire Systems sales and estimating teams. This position is responsible for managing incoming Invitations to Bid (ITBs), preparing quote drafts for estimators, updating project costs within the ServiceTrade system, and following up on outstanding invoices. The Sales Coordinator ensures seamless communication and organization between sales, estimating, and project operations for both Fire Alarm and Fire Sprinkler trades.

Key Responsibilities

Bid & Quote Management

• Receive and organize Invitations to Bid (ITBs) as assigned by the Sales Manager.
• Enter ITBs into the ServiceTrade system accurately and efficiently.
• Create draft quotes and proposals based on ITB documentation for review by estimators.
• Ensure bid folders and estimate documents are properly labeled and stored.
• Track and update the status of each bid through its lifecycle, from invitation to final proposal submission.

Project Cost & Data Entry

• Add and maintain accurate cost data for projects within the ServiceTrade system.
• Verify pricing details with estimators and project managers as needed.
• Ensure all labor, material, and subcontractor costs are captured and up to date.

Invoice Follow-Up & Financial Coordination

• Monitor project invoicing status within ServiceTrade.
• Contact clients or internal departments to follow up on past due invoices.
• Communicate with accounting and project managers to ensure timely collections and billing accuracy.

Team Support & Communication

• Act as a liaison between the Sales Manager, Estimating Team, and Project Coordinators.
• Assist with tracking quotes, sales metrics, and win/loss data.
• Support sales meetings by providing bid logs, updates, and reporting.

Pay:

$18 to $23 per hour based on Experience

Hours:

Monday through Friday

8:00 am to 5:00 pm
