Sales Operations Administrator

Job Overview
South River Technologies (SRT) is seeking a highly organized, detail-oriented, and proactive Sales Administrator to support our sales organization and ensure operational excellence across quoting, order processing, renewals, CRM management, and customer communications.

This role is critical to accelerating revenue, improving sales efficiency, and ensuring a seamless customer experience from quote to cash. The Sales Administrator will serve as the operational backbone of the sales team, coordinating with Finance, Marketing, Support, and Leadership.

Key ResponsibilitiesSales Operations & Administration

  • Generate and manage quotes, proposals, and order forms for Titan, WebDrive, and subscription offerings
  • Process new orders, renewals, upgrades, and license transitions (perpetual to subscription)
  • Maintain accurate pricing, discount approvals, SKU documentation and PriceBook management and distribution
  • Track license renewals and proactively notify Account Managers
  • Support end-of-life (EOL) and migration campaigns
  • Perform Triage on the salesAdmin email account which receives all inbound traffic, responding to inquiries when possible and routing inquiries to the proper HS agent where appropriate
  • Responsible for handling any live inquiries from 8-5 M-F which arrive through the telephone

CRM & Data Management

  • Maintain and update CRM & LMS (HubSpot or equivalent) with accurate Deal, Company and Contact data
  • Manage pipeline hygiene and reporting accuracy
  • Create dashboards and sales performance reports
  • Monitor renewal forecasts and subscription churn risk
  • De-duplicate companies, contacts, and deals within HubSpot

Customer & Partner Coordination

  • Act as a liaison between customers, distributors, and internal teams
  • Coordinate onboarding documentation and order confirmations
  • Support marketplace listings (AWS, Azure) administrative tasks
  • Ensure timely delivery of license keys and subscription activations

Financial & Contract Support

  • Assist with invoice validation and revenue tracking
  • Ensure SOWs, quotes, and contracts align with pricing policies
  • Support pro-rated adjustments and subscription billing scenarios
  • Maintain documentation for audits and compliance

Process Improvement

  • Identify inefficiencies in sales workflow and recommend improvements
  • Develop SOPs for sales administration functions
  • Support automation initiatives within CRM and billing systems

Qualifications Required:

  • Strong proficiency in HubSpot CRM system Required
  • 3+ years experience in Sales Administration, Sales Operations, or Revenue Operations
  • Experience in software or SaaS environments
  • Excellent attention to detail and organizational skills
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities in a fast-paced environment

Preferred:

  • Experience with subscription-based licensing models
  • Knowledge of secure file transfer, cybersecurity, or enterprise software
  • Familiarity with AWS/Azure Marketplace operations
  • Experience supporting renewals and channel/distributor relationships

Pay: $50,000.00 - $65,000.00 per year
