Role Overview
The Sales & RTA Authority Coordinator plays a key role in supporting sales operations and ensuring full compliance with RTA requirements for vehicle registrations, renewals, transfers, permits, and related documentation.
This role acts as a crucial link between Sales, Fleet Operations, Customers, and Government Authorities to ensure a smooth, accurate, and timely process from sales agreement to vehicle handover.
The position contributes directly to operational readiness by maintaining precise records, completing all RTA-related formalities, and supporting efficient workflow across departments.
Key Responsibilities
Sales Coordination
- Prepare and process sales contracts, quotations, and related documentation in line with company and UAE regulations.
- Coordinate with customers to obtain required documents, approvals, and updates throughout the sales process.
- Support the Sales team with real-time updates on vehicle readiness, RTA progress, and handover timelines.
- Maintain organised customer files, sales records, and internal documentation for audits and reporting.
RTA Authority Coordination
- Manage the full RTA process including registration, renewal, transfer, and de-registration (Mulkiya).
- Handle RTA portal submissions, traffic file updates, vehicle testing, and fine settlements when required.
- Liaise with RTA, Tasjeel, Shamil, and all authorised testing centres to ensure timely completion of tasks.
- Coordinate activation and cancellation of Salik tags and provide trip/usage reports when needed.
- Ensure all vehicles meet Dubai regulatory and compliance standards before being leased, sold, or delivered.
Fleet & System Management
- Update vehicle information, odometer readings, movement logs, and status in the fleet management system.
- Support induction of new vehicles by accurately recording technical and registration details.
- Review and correct system entries and movement logs in coordination with Operations Managers.
- Reconcile daily invoices related to vehicles and submit them to Accounts for processing.
Cross-Functional Coordination
- Work closely with Sales, Operations, Accounts, and Customer Service to ensure seamless vehicle delivery.
- Provide internal teams with accurate RTA updates, Salik reports, and compliance-related information.
- Maintain organised and audit-ready documentation for RTA and internal audits.
Skills & Qualifications
- 2–3 years of experience in RTA coordination, vehicle registration, sales admin, or fleet/car rental operations in the UAE.
- Strong understanding of RTA processes, Salik procedures, and UAE traffic regulations.
- Excellent organisational skills and high accuracy in documentation and data entry.
- Proficient in ERP/fleet management systems and MS Office applications.
- Strong communication skills with the ability to work across multiple departments.
- Problem-solving mindset with the ability to identify and correct discrepancies in vehicle or documentation records.
- Customer-service oriented with a proactive and professional approach.
