Job Description:

  • Provide high-level assistance to C-level executives, managing complex calendars, meetings arrangement, and prioritized scheduling.
  • Assist the sales team in developing sales strategies and identifying new business opportunities within the IT sector.
  • Lead and coordinate the preparation of technical bids and proposals, ensuring all documentation is accurate and submitted within deadlines.
  • Act as a bridge between the sales team and the technical team to translate complex project requirements into clear business communication.
  • Attend high-stakes board meetings and technical briefings to record minutes and understand the requirements and to track actionable items for the leadership.
  • Conduct in-depth research on industry trends, competitor activities, and emerging technologies to provide data-driven insights that will help in decision making, bidding and improvement of sales.
  • Serve as a professional point of contact between stakeholders, maintaining strong relationships, confidentiality and handling initial sales inquiries.
  • Prepare comprehensive technical reports, sales presentations, and performance dashboards for top management review.
  • Assist in maintaining proper communication & coordination among relevant departments and use technical knowledge to suggest improvements in internal IT processes or software usage.
  • Handle sensitive corporate information with the highest level of integrity and professional discretion.

Job Requirements:

  • Minimum of a bachelor’s degree in information technology, Computer Science, or a related technical field.
  • At least 3 to 6 years of proven experience as an Executive Secretary or Assistant, specifically supporting C-level executives.
  • Strong understanding of the sales lifecycle, with specific experience in IT sales and professional bidding processes.
  • Solid grasp of IT concepts, integrated systems, or infrastructure to effectively communicate with technical & sales teams.
  • Exceptional command of the English language (both written and verbal) for drafting formal proposals, bids and corporate emails.
  • Outstanding time-management skills with the ability to handle multiple high-priority tasks simultaneously.
  • Ability to analyze technical data and market trends to support executive decision-making.
  • Expert-level proficiency in Microsoft Office Suite (especially Excel and PowerPoint) and experience with CRM or Project Management tools would be a plus.
