Scale Operator / Office Assistant

Role Purpose

Are you highly organized, detail-oriented, and energized by the fast-paced world of logistics? We are seeking an Equipment & Fleet Coordinator to serve as the administrative and operational backbone of our fleet, heavy equipment, and physical assets.

In this role, you will work hand-in-hand with our driving staff and operations leadership to maintain real-time data on mileage, fuel, equipment hours, and asset locations. Your work will directly ensure that dispatching flows smoothly, maintenance is tracked accurately, and compliance data is always up to date.

This position will be based at our St. Matthews location.

Primary Responsibilities

  • Dispatch & Driver Support: Partner closely with the Operations Logistics Management to coordinate daily trucking dispatch, routing, and scheduling. Act as a primary, supportive point of contact for drivers regarding real-time route adjustments and field delays. (Note: This is a collaborative support role, not a supervisory position).
  • Fleet Tracking & Record Preparation: Collect, review, and input driver fuel tickets and mileage logs weekly. Maintain error-free records so our leadership team can seamlessly file quarterly IFTA reports.
  • Heavy Equipment Logging: Log and monitor engine hours, telematics data, and locations for heavy machinery (loaders, skid steers, dozers, etc.). Maintain up-to-date preventative maintenance logs to support the Operations Manager.
  • Asset & Inventory Control: Continuously track the location, assignment, and status of company assets—specifically trailers and containers/cans—to ensure physical locations perfectly match dispatch logs.

  • Accuracy: Maintaining flawless, timely logs for fuel, mileage, and equipment hours.
  • Efficiency: Smooth, proactive coordination with dispatch and driving staff.
  • Organization: Zero discrepancies between where assets (trailers, cans, machinery) are logged and where they actually are in the field.

Pay: From $19.00 per hour
