Position Overview
WV Whiteley Plumbing & Heating is seeking a highly organized and customer-focused Scheduler to support our growing residential service operations. This role is responsible for coordinating seasonal and recurring plumbing and heating services, managing incoming customer requests, and working closely with our dispatch and service teams to ensure efficient scheduling and exceptional customer experience.
Key Responsibilities
Customer Communication & Call Handling
- Answer incoming phone calls and assist customers with service requests
- Manage and return voicemails in a timely manner
- Schedule service appointments based on customer needs and availability
- Provide clear, professional communication via phone and email
Work Order Management
- Create, update, and maintain accurate work orders in the system
- Ensure all job details, notes, and customer information are complete
- Attach itemized work summaries and supporting documentation to work orders
Seasonal Work Coordination
- Schedule and manage seasonal plumbing and heating services
- Coordinate meter-related work with local municipalities/town offices
- Communicate scheduling updates and requirements with customers
- Ensure all seasonal work is completed and documented properly
Seasonal HVAC Service Scheduling
- Coordinate with contractors on seasonal HVAC maintenance programs
- Schedule recurring maintenance services (typically twice annually) for residential customers
- Maintain and track maintenance schedules to ensure timely service delivery
Scheduling & Dispatch Support
- Review daily scheduling queue and prioritize work orders based on urgency
- Monitor upcoming schedules to assess availability for non-emergency calls
- Schedule jobs efficiently to maximize technician productivity
- Communicate regularly with dispatchers and service team members
- Update schedules and work orders in real-time as changes occur
Qualifications
- Previous experience in scheduling, dispatching, or customer service (home services industry preferred)
- Strong organizational and multitasking skills
- Excellent communication and phone etiquette
- Ability to prioritize tasks and work in a fast-paced environment
- Proficiency with scheduling software/CRM systems (experience with ServiceMax/Salesforce a plus)
- Attention to detail and problem-solving skills
