Job Title: Scheduler

Position Overview

We are seeking an organized, detail-oriented, and proactive Scheduler to join our team. In this role, you will take the reins the moment a project is sold, serving as the critical bridge between sales, production, and the client. You will be responsible for orchestrating the timelines, coordinating field crews, and ensuring all contracted projects are slated for execution efficiently and accurately.

This is a full-time, in-office position that reports directly to the Office Manager.

Key Responsibilities

Scheduling & Coordination

  • Post-Sale Handover: Review newly closed contracts from the sales team to understand project scopes, material leads, and estimated labor hours.
  • Timeline Management: Create, maintain, and optimize the master production schedule to ensure projects are completed on time.
  • Crew & Resource Allocation: Assign appropriate field crews, subcontractors, and equipment to specific jobs based on skills, availability, and geographic location.
  • Logistics: Monitor weather forecasts, permit approvals, and material delivery dates to adjust schedules proactively and minimize downtime.

Communication & Client Success

  • Customer Touchpoint: Serve as the primary contact for customers regarding their project start dates, arrival windows, and schedule changes.
  • Internal Liaison: Act as the hub of communication between Sales (for contract handoff), Field Supervisors (for daily progress updates), and the Office Manager.
  • Dispute & Delay Resolution: Gracefully handle scheduling conflicts, delays, or emergencies, providing quick solutions and keeping all parties informed.

Administration & Reporting

  • Data Integrity: Keep the company CRM/scheduling software meticulously updated in real-time.
  • Reporting: Update the Office Manager weekly on production capacity, backlog timelines, and any scheduling bottlenecks.

Qualifications & Skills

  • Experience: 2+ years of experience in project scheduling, dispatching, or logistics coordination (experience in construction, home services, or manufacturing is a major plus).
  • Software Proficiency: Comfort with CRM or project management software (e.g., ServiceTitan, Jobber, Monday.com, ClickUp) and Microsoft Office/Google Workspace.
  • Communication: Exceptional verbal and written communication skills—you can deliver bad news (like a weather delay) with empathy and professionalism.
  • Problem-Solving: Strong critical-thinking skills with the ability to solve complex logistical puzzles on the fly.
  • Organization: High attention to detail; nothing slips through the cracks on your watch.

Pay: $48,000.00 - $52,000.00 per year
