Scheduler / Office Assistant

SYNERGY HomeCare of Thibodaux is seeking a dependable, organized, and compassionate Scheduler / Office Assistant who can also serve as a Backup Caregiver when needed. This position plays a vital role in supporting daily office operations, maintaining caregiver schedules, ensuring excellent client service, and providing direct care coverage during staffing shortages or emergencies.

Responsibilities

Scheduling & Staffing
  • Create and maintain caregiver schedules using AxisCare
  • Fill open shifts and manage last-minute call-ins
  • Match caregivers to client needs and preferences
  • Monitor caregiver attendance and address scheduling conflicts
  • Communicate schedule changes with clients and caregivers
  • Assist with on-call scheduling support as needed
Office Administration
  • Answer incoming calls and respond to client inquiries
  • Maintain accurate client and caregiver records
  • Assist with hiring, onboarding, and orientation processes
  • Process and organize employee documents
  • Support payroll preparation and data entry
  • Maintain office filing systems and compliance documentation
  • Assist with marketing and community outreach activities
Client Service
  • Provide exceptional customer service to clients and families
  • Follow up on client satisfaction and service concerns
  • Assist with care coordination and communication between staff and clients
Backup Caregiver Duties
  • Provide in-home care coverage when caregivers are unavailable
  • Assist clients with companionship, meal preparation, light housekeeping, medication reminders, transportation, and personal care
  • Complete all required documentation and electronic visit verification
  • Follow client care plans and agency policies
Qualifications
  • High school diploma or equivalent required
  • Previous scheduling, office administration, customer service, or healthcare experience preferred
  • Caregiving experience preferred
  • Strong computer skills and ability to learn agency software
  • Excellent communication and organizational skills
  • Ability to multitask in a fast-paced environment
  • Valid driver's license, reliable transportation, and current auto insurance
  • Ability to pass all required background screenings

Schedule
  • Monday through Friday, 8:00 AM to 4:00 PM
  • Occasional evenings, weekends, or emergency coverage as needed
