Job Title: Transportation Scheduler

Shift: 9:00A - 5:30P

Reports To: Dispatch Coordinator / Director of Operations

FLSA Status: Non-Exempt

Summary: Responsible for call taking, scheduling, routing, and dispatching in an on-demand-response transit service for the general public and specialized service passengers. Responsible for acting as liaison between drivers and management and effectively dispatches transportation routes by performing the following duties.

Duties and Responsibilities include the following. Other duties may be assigned.

  • Ability to answer multi-line telephone system using headset or handsfree device for communication.
  • Ability to maintain a professional office environment and professional relations with customers and other employees.
  • Ability to receive and prioritizes all incoming scheduling request calls.
  • Successfully schedules and coordinates pick up and drop off's within routes for the Transit Operator on a daily basis.
  • Ability to dispatch transit operators for pick-up and drop off of public, including specialized service passengers in efficient manner.
  • Ability to communicates to management about dispatch issues, up to and including, needs outside of standard practices or out of county transportation requests when needed.
  • Ability to communicate with the maintenance department any immediate concerns with vehicles using office equipment or designated document as directed within the standard operating procedures.
  • Maintains the ability to use a computer keyboard on a daily basis to record data and other data entries needed.
  • Ability to assists drivers as necessary with routing issues and concerns.
  • Ability to record all pertinent information in a timely manner.
  • Successfully operates the scheduling software according to procedures and backs up the computer system as required.
  • Successfully operates communication equipment efficiently to properly communicate with drivers, and report equipment issues promptly to maintain optimum working condition.
  • Applies knowledge of service area(s) to dispatch sufficient transportation coverage, and knowledge of vehicle operation capacity to ensure routing schedules are met.
  • Prepares a daily transportation schedule/manifest and coordinates efficient routes by applying knowledge of customer schedules, peak transportation times and alternate routes.
  • Ability to inform customers of their service status according to transportation schedules as needed.
  • Review transportation routes and alternative solutions in order to optimize transportation utilization and efficiencies.
  • Ability to maintain master file of driver assignments and times.
  • Reviews and recommends to supervisors, any alternative assignment of drivers to maximize timeliness, while meeting all safety guidelines or requirements.
  • Successfully monitor allocation of driver’s time to minimize use of overtime.
  • Successfully works with team members to coordinate execution of extra trips or unassigned trips.
  • Maintains the ability to problem solve trough critical objective thinking and must be decisive in decision making.
  • Ability to attend various trainings as designated by management.
  • Ability to perform other duties as assigned by management.

Language Ability:

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Math Ability:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability:

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Skills:

To perform this job successfully, an individual should have knowledge of Word, Excel, PowerPoint, Office, Outlook. Must be able to use scheduling software with training.

Education/Experience:

High school diploma or general education degree (GED)

Specialized Training:

Successful completion of scheduling, dispatch, and routing software training

Certificates and Licenses:

  • Valid driver's license
  • Michigan standard insurance coverage
