Scheduler/Jr. Estimator

Full time HVAC Scheduler/Dispatcher position with Bay Area HVAC (Heating Cooling and Air Conditioning) company located in Livermore. In this position you will be great at handling customer communication to ensure efficient service delivery and high customer satisfaction. We are looking for an extremely detail oriented, friendly, motivated person to join our team.

Key duties include booking, confirming, and dispatching appointments, updating CRM systems (Buildops), and managing emergency calls. This role requires strong organizational skills, multitasking abilities, and experience in customer service.

Duties will include but not limited to:

  • Customer Service: Act as the primary contact for scheduling service, maintenance, and installations, providing, friendly, and professional support via phone.
  • Documentation and Data Entry: Accurately update customer records, track technician job status (time in/out), and process service requests using field management software.
  • Communication: Coordinate with field technicians to provide necessary information and update customers on estimated arrival times.
  • Problem-Solving: Handle customer complaints and adjust schedules in real-time to manage cancellations, delays, or emergency requests.
  • Estimating: Provide timely, accurate estimates when requested.

Required Skills and Qualifications:

  • Experience: 1-3+ years in customer service, scheduling, or dispatching, preferably within the HVAC or field service industry.
  • Technical Skills: Proficiency in CRM systems and scheduling software.
  • Communication: Excellent verbal and written communication skills.
  • Multitasking: Ability to handle high-pressure situations and manage multiple priorities simultaneously
  • Attention to Detail: Strong accuracy in calculating costs, material quantities, and labor hours.

Proficient with Mircrosoft suite - Excel and Word

MUST LIVE LOCALLY (within 15 miles)

High school diploma or equivalent.

Skills Required:

  • Must be computer savvy and have knowledge of or ability to learn Microsoft Office, Build-Ops, G-mail.
  • Knowledge of telephone protocol
  • Self directed and motivated
  • Quick learner / able to take direction
  • Troubleshooting and logistics skills
  • Efficient and streamlined
  • Ability to prioritize and handle multiple tasks and adjust as necessary.

Additional Skills that would benefit the position but are not required: HVAC experience.

Job Type: Full-time

Pay: $25.00 - $27.00 per hour
