Scheduling & Administrative Assistant

Position Overview

Affordable Home Care Solutions is seeking a highly organized and dependable Scheduling & Administrative Assistant to join our team full-time. This role is essential to our daily operations, ensuring client care is staffed seamlessly while supporting the administrative functions of the office.

This is a fast-paced, detail-driven position that requires strong communication skills, problem-solving ability, and a high level of ownership. You will serve as a central point of coordination between clients, caregivers, and leadership while helping maintain a smooth and professional office environment.

Schedule & Position Details

  • Full-Time, In-Office Position
  • Schedule: Tuesday through Saturday, 8:00 AM – 5:00 PM
  • On-Call Requirement: After-hours on-call coverage Friday & Saturday night
  • Occasional Sunday coverage required for team support (vacation/leave coverage)
  • Location: Scottsdale, AZ
  • Compensation: $20/hr

Core Responsibilities

Scheduling:

  • Ensure all scheduled shifts are filled appropriately and in a timely manner
  • Communicate with Scheduling Manager and Recruiter regarding staffing needs
  • Accurately enter and maintain all scheduling and tracking activities
  • Communicate all scheduling changes and updates to the team
  • Respond to urgent after-hours scheduling needs during assigned on-call nights
  • Take on-call shifts as directed

Administrative:

  • Answer incoming calls and assist with client and caregiver inquiries
  • Maintain accurate and up-to-date client and employee documentation
  • Track and manage caregiver credentials and compliance requirements
  • Assist Recruiter with administrative and hiring-related tasks
  • Support onboarding of new caregivers as needed
  • Perform additional administrative duties as directed by leadership

Qualifications

  • Proven experience in office administration or clerical roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
  • Excellent computer literacy with the ability to learn new software quickly.
  • Strong typing skills with attention to detail; proofreading abilities are essential.
  • Exceptional phone etiquette and customer service skills; experience with multi-line phone systems is a plus.
  • Ability to handle confidential information discreetly while maintaining professionalism at all times.
  • Strong time management skills with the ability to multitask efficiently in a busy environment.
