About The Role

We are seeking an enthusiastic Scheduling Administrator to support our NSW Water Efficiency Division. Based in our Sydney office, the role is an entry level role ideal for someone starting their career in administration or scheduling, who is eager to learn in a busy and supportive team environment.

You will assist with daily scheduling for field employees working across Metro and Regional Sydney and help keep projects moving smoothly. Full training will be provided.

Key Responsibilities

  • Answering inbound and making outbound phone calls.
  • Assisting with monitoring and updating work orders and job requests.
  • Supporting the daily coordination of schedules for field staff.
  • Completing basic data entry and assisting with reporting.
  • Helping field staff with simple enquiries and passing on information as needed.
  • Liaising with clients and plumbers to help prioritise and schedule jobs.
  • Supporting the team to maintain simple processes and procedures.
  • Assisting with maintaining accurate employee and subcontractor records.
  • Helping with job management tasks such as preparing work orders and assisting with invoicing.
  • Assisting with processing quotations.
  • Ensuring paperwork is completed and uploaded correctly.
  • Providing general administration and ad hoc support to the team.
  • Assisting with basic work reviews and following up on incomplete jobs under supervision.
  • Always maintaining confidentiality and professionalism.

The hours are from Monday to Friday 09:00am - 05:00pm. First 3-6 months will be office-based, then view to hybrid once trained.

About You

  • Ability to manage multiple tasks with support and guidance.
  • A basic ability to think through problems and ask questions when unsure.
  • Good attention to detail and willingness to follow processes.
  • Ability to work in a fast-paced environment while staying organised.
  • Basic computer skills, including familiarity with Microsoft Office.
  • Experience with Aroflo is a bonus but not required (training provided).
  • Any previous scheduling or administration experience is helpful, but not essential.
  • General knowledge of Metro and Regional Sydney is an advantage, but not mandatory.
