Scheduling Assistant Administrative Coordinator

Position Overview:
We are seeking a highly organized and proactive Scheduling Assistant to support our scheduling team and assist with day-to-day administrative operations. This role is ideal for someone who thrives in a fast-paced healthcare environment, enjoys multitasking, and is comfortable handling both operational and creative responsibilities.

Key Responsibilities:

  • Assist with coordination of caregiver schedules and client assignments

  • Support the scheduling team with daily updates, changes, and communication

  • Prepare and distribute welcome packets for new clients and caregivers

  • Maintain and update records using Smartsheet and other internal systems

  • Assist with social media posting and basic content updates

  • Communicate with staff, clients, and families in a professional and timely manner

  • Help ensure compliance with company policies and documentation standards

  • Provide general administrative support (filing, data entry, tracking, etc.)

  • Assist with special projects and additional tasks as needed

Qualifications:

  • Strong organizational and multitasking skills

  • Excellent communication (written and verbal)

  • Experience with scheduling, administrative support, or healthcare preferred

  • Familiarity with Smartsheet (or similar tools like Excel, Google Sheets)

  • Basic knowledge of social media platforms

  • Detail-oriented with the ability to prioritize tasks

  • Ability to work independently and as part of a team

Preferred Skills:

  • Experience in home health care or medical office setting

  • Customer service background

  • Problem-solving mindset and adaptability
