Scheduling Coordinator

Position is a key part of our team and is responsible for client services including the matching of all independent contractor caregivers with clients in a professional, confidential and enthusiastic manner that meet the needs of the clients and the caregivers in compliance with all AHCA, and other Payer sources requirements.

Essential Duties and Responsibilities:

Specific Job Duties

  • Works with client services and all aspects of customer service to include but not be limited to matching the right caregiver to the right client, care plans, caregiver selection for referrals, emergencies, calculate and approve caregiver payroll adjustments and reports, etc;
  • Works with the Client Services team members; makes certain that communication between staff members, clients and caregivers is complete, timely and accurate including updating software immediately when schedules change for any reason from the caregiver or client.
  • Assists in the management of the day-to-day operations of the nurse registry to ensure compliance with the Florida Agency for Health Care Administration (AHCA), including Florida Medicaid rules, regulations, laws, polices, procedures, electronic visit verification, etc. as well at the Atlantic In-Home Care, LLC policy and procedure manual, with the business objective that the company will be in compliance during all audit reviews.
  • Assist in the recruitment, contracting and management of independent contractor caregivers, CNAs, LPNs and RNs to meet the business needs of the company, to satisfy clients, to comply with AHCA regulations, and in a manner that maintains the independent contractor status of the caregiver and compliance with the Florida Department of Labor.
  • Assist in the relationships with insurance companies, long term care providers, APD, Medicaid, similar organizations, and the marketing director to insure compliance with their contracts, expectations, invoicing and remittance, etc.
  • Handle ON CALL duties as determined.
  • Reacts to change productively and handles other essential tasks as assigned.

What kind of work experience (including length of time), training, and/or level of education are necessary for this position?

Position requires two years of administrative and scheduling experience in a health care services professional environment; LPN preferred. Spanish desired.

  • List any technical skills (typing, computer skills, etc.) degree of competency required, and other special training or abilities preferred:

Must be PC proficient: Word, Excel, Outlook, Microsoft Office Products, scheduling software and calendar programming. Type 25 wpm. Must comply with a Level 2 background check and any other AHCA requirements at your own expense.

This position requires strong management and solid communication skills. Must be a team player. This position requires interaction with many Florida state departments and various outside agency and insurance company contacts. The ability to communicate fluently and effectively via written and oral communication is essential. This position is required to prepare and proof work.

The position is minimally supervised. The employee is expected to act independently in complianc with all laws to cover all schedules.

The work environment, many times, is fast paced. High energy and clear thinking is required to keep all priorities in order. Working during any time of any day to meet the needs of our clients and caregivers and backing up other support staff is required.

Job Type: Full-time

Pay: $20.00 - $22.00 per hour
