Job Summary: The staffing coordinator/scheduler is responsible for the day-to-day scheduling and coordination of employees on various assignments.
Qualifications: The candidate will be a graduate of high school or equivalent. The candidate must possess excellent interpersonal and communication skills and can work effectively within a diverse population.
Skills Required: The candidate must have computer skills including word processing, data entry, internet knowledge, Outlook and Microsoft excel. Record maintenance skills a must. Knowledge of planning and scheduling assignments is imperative.
Reports To: Office Manager
Responsibilities and Duties:
1. Prepare weekly assignments/schedules for HHA’s, CNA's, and housekeepers.
2. Perform ongoing review of schedule making sure all openings are filled.
3. Notify supervisor immediately of shifts you are unable to fill.
4. Confirm schedule reflects proper hours allotted for each client.
5. Replace absent employees to cover callouts.
6. Obtain time slips from every employee weekly on due date and review to confirm correct work hours and complete documentation of job duties.
7. Follow-up with employee if is not clocked in on time.
8. Update staffing board with any client changes
9. Notify client of any schedule changes or replacement of caregiver.
10. Notify client initially of aide assigned to case as well as start date and aides scheduled hours.
11. Update all schedules in the computer to reflect correct dates and hours worked.
12. Give verbal report to relieving staffing coordinator.
13. Answer office telephone promptly and courteously.
14. Always maintain professional atmosphere.
15. Receive referrals from incoming sources.
16. Update schedules in the computer weekly including new dates and hours. Update schedule as it changes and notify nursing supervisor of changes.
17. Update employee files with callouts.
18. Take on-call as scheduled.
19. Notify supervisor daily of any schedule changes.
20. Schedule and perform orientation of new employees.
21. Interview prospective employees.
22. Confirm prospective employee interviews the day before.
23. Schedule employees for in-services or meetings as requested.
24. Notify case managers of client’s hospitalizations or clients return home from hospital and plan to resume care.
25. Verify client service orders are up to date with approved work hours.
26. Review referral log daily to ensure all cases are assigned.
27. Follow-up with client or designated party via telephone to ensure HHA’s attendance, punctuality, and performance.
28. Obtain and download service orders off designated websites.
29. Attend job fairs and recruiting events to recruit as needed
30. Complete Weekly Census
31. Perform marketing calls as assigned.
32. Check eligibility on all waiver clients prior to starting case.
33. Other duties as assigned by supervisor.
