Scheduling & Operations Coordinator (High Performance Role)

Overview

We are hiring a high-performance Scheduling & Operations Coordinator to manage and control our daily schedule across sales, installation, service, and partner appointments.

This is not a front desk role. This position directly impacts revenue and requires speed, organization, and accountability.

What You’ll Do:

  • Schedule and confirm all sales appointments
  • Respond to new leads quickly (goal: under 5 minutes)
  • Manage installation scheduling and optimize daily routes
  • Handle service and warranty scheduling with urgency
  • Coordinate builder, designer, and purchasing agent appointments
  • Maintain accurate CRM records and follow-up tracking
  • Communicate daily with sales team, install team, and customers

  • Leads are contacted immediately
  • Install schedule runs efficiently with no gaps
  • Service requests are handled quickly
  • No missed communication or dropped tasks

Compensation:

  • $30,000 base salary
  • Commission on scheduled and completed appointments
  • Monthly performance bonuses based on:
  • Appointment volume
  • Lead response time
  • Scheduling efficiency
  • Partner lead conversions

Schedule:
Tuesday – Friday
8:30 AM – 5:00 PM

  • Comfortable handling high call and message volume
  • Ability to work in a fast-paced environment
  • Strong communication skills (phone, text, CRM)
  • Must take ownership and follow through

Responsibilities

  • Develop, maintain, and optimize detailed scheduling plans to ensure timely execution of projects and daily operations.
  • Coordinate between multiple teams to align resources, timelines, and priorities effectively.
  • Monitor operational workflows, identify bottlenecks or inefficiencies, and implement solutions to enhance productivity.
  • Manage communication channels to ensure all stakeholders are informed of schedule changes or operational updates promptly.
  • Oversee logistical arrangements for meetings, events, or resource allocations, ensuring all details are meticulously handled.
  • Track key performance indicators related to scheduling accuracy and operational efficiency; report findings regularly.
  • Support continuous improvement initiatives by analyzing current processes and recommending innovative adjustments.

Qualifications

  • Proven experience in operations coordination, project management, or a similar high-performance role.
  • Exceptional organizational skills with an eye for detail; able to manage multiple priorities simultaneously.
  • Strong communication skills to effectively liaise across teams and stakeholders at all levels.
  • Proficiency with scheduling software tools and workflow management platforms; familiarity with data analysis is a plus.
  • Ability to adapt quickly in a fast-paced environment while maintaining accuracy under pressure.
  • Demonstrated problem-solving skills with a proactive approach to identifying opportunities for process improvements.
  • Nice-to-have: experience working in logistics, supply chain management, or related fields; certifications in project management or operations are advantageous.
