The Office of the Clerk of Superior Court, New Hanover County, seeks an Assistant Clerk for its Estates Division. Assistant Clerks process matters of original jurisdiction before the Clerk and hear cases on behalf of the Clerk in matters where the Clerk has judicial authority such as Foreclosures, Guardianship, Adoptions, Motor Vehicle Liens, Name Changes, Legitimization, and matters concerning Real Property and Estates in accordance with North Carolina statutes.
 
 
Estate Clerks meet with attorneys, representatives of other agencies, and the public and must be able to tactfully and diplomatically explain rules, policies, and procedures. This position requires critical thinking and logical reasoning in the application of relevant state statutes and applicable case law in matters brought before the Clerk.
Knowledge Skills and Abilities/Management Preferences
Primary responsibilities for this Assistant Clerk position include but are not limited to the following:
<ul><li>Process applications for probate of wills and codicils.
</li><li>Appoint personal representatives for decedent estates, guardianships, trustees, collectors, and allowances.
</li><li>Prepare letters of testamentary, administration, and guardianship.
</li><li>Administer oaths and set bonds for administrators and guardians.
</li><li>Review annual and final accountings for accuracy.
</li><li>Issue Notices and Orders to personal representatives and legal counsel.
</li></ul>This position reports to the Clerk of Court. Work hours are 8:00 AM - 5:00 PM, Monday - Friday.
Knowledge, Skills and Abilities / Competencies: 
 
Knowledge of: North Carolina court systems and procedures; case, statutory, regulatory, and common law; NC General Statutes; Estates and Special Proceedings and other areas of civil law; and basic accounting.
 
 
Skill in: following oral and written instructions; working quickly and with accuracy; managing a high volume case load; attention to detail and organization; entering data with precision; accurately typing 35-40 wpm; and proficiency with Microsoft Word and Microsoft Excel.
 
 
Ability to: work independently and under pressure with time limited mandates; interpret laws and make timely decisions with accuracy; read and understand the statutes and procedures for estate administration and record keeping; effectively communicate with people of diverse backgrounds; demonstrate a superior work ethic; and effectively manage a high volume of public interaction.

The Kearney County Court is accepting applications for a part-time Assistant Clerk I position (.50) working 20 hours per week. This classification level is responsible for working under general supervision and providing a variety of specialized customer service, clerical and administrative support to single court operations and is cross-trained in service areas such as criminal/traffic, civil/small claims, or probate, guardian conservator and adoption. Responsibilities may include: scheduling court hearings, data entry, processing and maintenance of records e.g. entering new case filings, updating case filings; performing cashiering duties such as processing payments (e.g. fines, fees), balancing daily deposits; preparing and submitting routine documents and reports; performing receptionist duties of assisting public and staff by answering general questions regarding court operations for all court case types and procedures. 
 
JOB DUTIES
Performs specialized clerical support for court operations, which includes scheduling hearings with attorneys and other agencies; entering new case filings; preparing and recording paperwork for assigned area of responsibility; preparing and distributing docket for court sessions; ensuring completeness and accuracy of information and maintaining related records.
Responds to telephone, e-mail, written, and in-person inquiries from employees, other departments, and the public; transmits messages; and provides answers and information requiring knowledge of departmental policies and procedures.
Performs routing administrative support duties, which include: scheduling and coordinating meetings; processing payments (e.g. fines, fee) and daily deposits.
Performs other duties of a similar nature or level.
The above classification responsibilities represent only the key areas of responsibilities; specific position assignments will vary depending on the business needs of the department.
Requirements/ Qualifications
Minimum Qualifications: High School Diploma or equivalent (G.E.D.); and 3 years related experience; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

The Processing Clerk at the Records Center plays a vital role in supporting the judicial system by ensuring accurate case processing, proper records management, and compliance with applicable laws, statutes, and administrative orders. This position requires a high level of attention to detail and confidentiality while interacting with judges, attorneys, law enforcement, court staff, and the public.

Processing Clerks are responsible for maintaining official records, court records, and all other business records of the Clerk&rsquo;s Office as well as those records transferred by Sarasota County government. Duties include managing the intake, storage and retention of records held at the Records Center as well as the retrieval of records upon request.

They must demonstrate superior communication skills and attention to detail when assisting both internal and external stakeholders.
