Summary/Objective: 
The Site Administrative Assistant is responsible for assisting the Property Management team in the day-to-day administrative duties involved with the management of our property. This role supports a busy property management office serving residents from diverse backgrounds and requires patience, professionalism, and the ability to remain organized in a fast-moving environment.

Essential functions/Responsibilities: duties include but are not limited to the following
<ul><li>Answer, screen, and transfer inbound phone calls.</li>
<li>Welcoming and assisting residents with inquiries, walk-ins, and general questions.</li>
<li>General clerical duties, including photocopying, maintaining an electronic and hard copy filing system, fax, and mailing.</li>
<li>Retrieve documents from the filing system.</li>
<li>Handle requests for information and data.</li>
<li>Writing correspondences to tenants, employees, and external vendors.</li>
<li>Prepare and modify documents, including correspondence, reports, drafts, memos, and emails.</li>
<li>Schedule and coordinate meetings for the manager/supervisor.</li>
<li>Maintain office supply inventories.</li>
<li>Coordinate maintenance of office equipment.</li>

Requirements:
<ul><li>Candidate must have at least 2 years of work experience in an office environment (computer skills and knowledge of relevant software, operation of standard office equipment, and practices/principles of basic office management).</li>
<li>Must have at least a High School Diploma.</li>
<li>Affordable housing / property management industry experience is a plus</li>

 General Statement of Duties: The Regional Property Manager is a result driven leader responsible for achieving satisfactory financial performance goals and maintaining the physical condition and marketability of the communities. Effectively develops and leads strong property management, compliance, leasing, maintenance and resident services teams to accomplish short and long-term objectives for assigned portfolio. This individual will be supporting properties mainly located in the Boston area up to the North Shore.
 Supervision Received: Reports to the Regional Vice President of Property Management.
 Direct Reports: Property Managers, Senior Property Managers.
 Essential Functions of the Position: (Any one position may not include all of the duties listed, nor do the listed examples include all duties that may be found in positions of this class).

<li>Responsible for achieving financial performance objectives and managing the portfolio’s financial operations following company and government agency rules, regulations and guidelines.</li>
<li>Oversees preparation of annual operating budgets and performs budget projections for all properties.</li>
<li>Analyzes actual income and expenses against approved budget guidelines.</li>
<li>Ensures accurate and timely withdrawal of all reserve funds.</li>
<li>Conducts financial results reviews with Senior Property Managers and Property Managers, on a routine basis.</li>

<li>Oversees revenue management and pricing processes.</li>

<li>Assesses and recommends changes to current policies and operational practices.</li>
<li>Sets operational goals for each property and establishes company standards for property operations, sales and leasing, collections, and customer service.</li>
<li>Enforces and adheres to company policies, rules and regulations.</li>
<li>Preserves and respects resident and applicant confidentiality.</li>
<li>Monitors and ensures program and regulatory compliance with the LIHTC and/or HUD program(s).</li>
<li>Represents Beacon Communities to the public and collaboratively develops a partnership with public officials, businesses and agencies.</li>
<li>Acts as liaison to external and internal parties for all property-related emergencies.</li>
<li>Leads, manages, trains and develops a strong management team to drive the company’s growth.</li>
<li>Determines staffing needs and directs the hiring process.</li>

Minimum Qualifications: 
Education: Bachelor’s Degree in business or related field, advanced degree and/or professional certification preferred.
 Experience: Minimum five years property management experience including staff management and development, budgeting/ financial analysis. Multi-community, mixed income residential property management experience preferred.

Primary Responsibilities:

The Research and Organizational Change Management (OCM) Co Op will report to the Senior Director of Organizational Alignment and directly support the director and the Deputy Chief Administrative Officer for MassDOT. The Administrative Office supports Fiscal, HR, IT, Property Services, and the Office of Real Estate and Economic Development at MassDOT and so, this position would indirectly support the department heads and senior staff of those departments. 
 
The Co Op will have the opportunity to help shape long-term strategy for the organization and how the administrative groups support MassDOT&rsquo;s operating divisions (Highway, RMV, Aeronautics, and Rail &amp; Transit). The Co Op will be exposed to a variety of work focused on how to shift organizational culture in service of long-term goals. This role will be a mix of research, analysis, and practical change management activities. 
 
The Co Op will take part in two major, ongoing change initiatives at MassDOT (among others): the implementation of departmental strategic plans (in alignment with MassDOT&rsquo;s upcoming Strategic Business Plan) and the Commonwealth-wide BEST Initiative which replaces legacy HR systems across the state and transforms many business processes along the way. The Co Op will have the opportunity to help craft and facilitate workshops, work closely with executive-level staff, and support both internal and external relationship management key to the agency&rsquo;s change management strategies. 
Duties and Responsibilities<ul><li>
Interpret and summarize available literature and research.</li><li>
Assist development and facilitation of workshops, strategy, events, and programs that intentionally work towards organizational change over time.</li><li>
Identify opportunities and create proposals for organizational change metrics.</li><li>
Create research plans and coordinate data collection to meaningfully measure behavioral shifts over time.</li><li>
Conduct surveys, &ldquo;field&rdquo; observations, focus groups, and stakeholder interviews.</li><li>
Assist development of change management plans, strategic plans, and action plans for various initiatives and departments.</li><li>
Interpret and summarize behavioral, organizational, or sociological, etc. research for a variety of internal audiences, including executives.</li><li>
Provide literature reviews and reputable sources to support research summaries.</li></ul> 
Preferred Qualifications 
<ul><li>
Enrollment, recent graduation, or experience in one or more of the following bachelor's or master's fields/programs: Industrial/Organizational Psychology, Education, Sociology, Socioeconomics, Human Resources, Learning &amp; Development, Change Management, Business Administration, Public Administration.</li><li>
Strong reading, writing, and verbal communication skills.</li><li>
Strong presentation skills and comfortable leading or facilitating meetings.</li><li>
Ability to summarize and share information in an effective way.</li><li>
Experience with different types of research methods.</li><li>
Strong critical thinking skills.</li><li>
Ability to collaborate effectively.</li><li>
