<p><b>THE OPPORTUNITY</b><br>
Under the direction of the Town Clerk, this role is responsible for supporting the operations and activities of the Town Clerk's office. This role is responsible for general administrative and clerical duties and provides customer service over the phone and in-person at Town Hall. This role acts as a utility billing clerk and is responsible for the processing and collection of monetary payments. This role provides support in coordination of records management, building permit services, municipal court proceedings, and licensing processing.</p>
<p>This role requires excellent customer service and communication skills, the ability to multi-task, and the ability to operate with independence.</p>
<p><b>JOB SUMMARY</b></p>
<p><i>Primary Responsibilities</i></p>
<ul><li>Answer phones and directs calls appropriately; refers permitting, construction, code or development questions to the appropriate staff.</li><li>
Assist residents/businesses with general questions regarding utility accounts; educates residents on water and wastewater charges and utility billing procedures.</li><li>
Assists with processing and collection of monetary payments from customers for court fines, building permits and utility charges. Involves cash handling and ensuring balancing accuracy of a cash drawer.</li><li>
Reviews and distributes all accounts payable billing information, reviews invoices for appropriate documentation and processes invoices for payment.</li><li>
Files, organizes and distributes daily mail, correspondence and forms.</li></ul>
<p><i>Secondary Responsibilities</i></p>
<ul><li>Maintains and coordinates records of the Town Clerk's office to include building and utility permits, animal licenses, business and sales tax licenses, and miscellaneous permits and licenses.</li><li>
Serves as a back-up for Building Permit Technician; assists customers with permit submission, payments and other general questions.</li><li>
Assists with Municipal Court, greets and assists customers at the front counter, provides court information and assistance to citizens in court case matters, provides administrative assistance and support to court staff.</li><li>
Review permit and license applications for completeness and communicates outstanding items to applicants.</li><li>
Other duties as assigned by Town Clerk, Deputy Town Clerk, and Building Permit Technician including special projects.</li></ul>

<p>Types and edits a variety of material, which may contain technical or specialized terminology; reviews documents for accuracy and completeness; serves as receptionist or information clerk; determines purpose of contact; provides general information and assists in preparation of forms; directs individuals to proper destination; receives and distributes messages; and schedules and/or arranges appointments</p>
<p>Composes routine correspondence; proofreads and/or finalizes letters, memorandums, reports or other documents for approval and signature</p>
<p>Establishes and maintains filing systems; prepares records for storage and/or archiving; maintains office equipment and supply inventory; maintains records relating to receipt and issuance of materials or equipment</p>
<p>Prepares agency documents such as purchase and supply requisitions, personnel and/or payroll forms, time and leave records and expense accounts; performs math calculations in the completion of forms and records; assists with the arrangement of travel and accommodations, and in the coordination of meeting logistics</p>
<p>Processes and distributes mail according to established procedures; prepares material for mailing, utilizing automated equipment when applicable; preforms data entry and develops routine spreadsheets and databases; compiles and prepares data or reports from a variety of sources in accordance with specific instructions or procedures; operates and maintains standard office equipment</p>
<p>Serves as a lead worker, providing guidance, direction, and training to other clerical employees; reviews work for accuracy, timeliness, and compliance with instructions and procedures</p>
<p>Receives general supervision from a designated administrative supervisor; carries out assigned responsibilities independently within established guidelines; performs other related work as assigned</p>
Qualifications - All you need for success
<p><b>Minimum Qualifications:</b></p>
<p>Six or more months of experience in office support work; and possession of a high school diploma or proof of high school equivalency</p>
<p>(15 earned credit hours from an accredited college or university may substitute for the required experience)</p>

<ul><li>A $2.00 per hour shift differential if you are assigned to a shift that begins on or between 12:00pm (noon) and 5:00am and are employed at a 24/7 congregate care facility (i.e. institution, transition center, supervision center, or command center).</li>
<li>A $1.00 per hour restrictive housing stipend if you are assigned a regular post within a restrict housing/segregation unit at any facility.</li>
</ul><p>The Department of Corrections currently offers a guaranteed 1% pay increase for every two years of continuous service up to 20 years!
