An Administrative Assistant / F&amp;B Secretary is responsible for carrying out the daily activities of the F&amp;B office to deliver an excellent staff experience while providing secretarial support, managing the mail, and carrying out filing. 
What will I be doing? 
As an Administrative Assistant / F&amp;B Secretary, you will be responsible for carrying out the daily activities of the F&amp;B office to deliver an excellent staff experience. An Administrative Assistant / F&amp;B Secretary will also be required to provide secretarial support, manage mail, and carry out all filing. Specifically, you will be responsible for performing the following tasks to the highest standards:<ul><li>
Carry out daily administrative activities of the F&amp;B office while adhering to Hilton Standards, policies and procedures</li><li>
Provide secretarial support to the Executive team</li><li>
Ensure all communications, particularly relating to all dep., guests and the Corporate office are handled promptly and professionally</li><li>
Receive and distribute mail</li><li>
Ensure outgoing mail is dispatched in a timely manner</li><li>
Provide minutes to F&amp;B Team Meetings and compile management reports in a timely and accurate manner if necessary</li><li>
Maintain adequate supplies of office stationary</li><li>
Identify and build internal and external relationships</li><li>
Carry out all filing</li><li>
Comply with all key security mandates</li><li>
Report any maintenance issues or hazards</li><li>
Maintain own work area in a clean, tidy and good manner</li><li>
Report defective materials and equipment</li><li>
Assist with special projects related to the F&amp;B Office</li></ul>

Duties and Tasks:</div><ul><li>
Handle routine and advanced messaging that includes confidential and time-sensitive letters, memoranda, and transcribed documents.</li><li>

Maintains and improves the filing system and tracking of documents.</li><li>
May take on business projects, and perform business analytical work.</li><li>
Following the VIP Guest in all Hotels and submitted to the Chairman daily in case the list includes Hotel business leaders or owners.</li><li>
Has the ability to review legal contracts and follow targets and time frames.</li><li>
Ability to draft contracts for different subjects.</li><li>
Ability to set meetings priorities.</li><li>
Ability to schedule meetings and attend them in case of need.</li><li>
Ability to address the Charmin message in a proper way.</li><li>
Has the power &amp; personality to solve problems.</li><li>
She has the knowledge to make the right decision, ability to trainee &amp; advise the office team.</li><li>
Ability to review budgets and figures analysis.</li></ul><div>

10 years at least as an office manager.</li><li>
Capable of independently handling communication with other entities.</li><li>
Fluent written and spoken English.</li><li>
Capable of representing chairman&rsquo;s office in interactions with international customers &amp; suppliers.</li><li>
Can work under pressure and is a multi-task person.</li><li>
Fast learner, active and target oriented.</li><li>
Having excellent management, communication, interactive, and negotiation skills.</li><li>
Having excellent experience in using MS Word, Excel, PowerPoint, and Exchange.</li><li>
