Administrative Support Manager

<p></p><div><div><div><div><div><div><div><div>Under minimal supervision, responsible for planning, organizing, directing and/or controlling all aspects pertaining to administrative functions of assigned department&rsquo;s internal and external customer service, staff management and financial management operations pertaining to areas including (but not limited to) data/records maintenance, supply management, transcribing/dictation, word processing, telecommunications, office equipment maintenance, and office support. Acts as a catalyst between the department and its customers and staff to ensure continuity and quality of service and care.<br>

The ideal candidate is a proactive self-starter who demonstrates a strong willingness to learn. This individual is capable of training colleagues on financial processes, while maintaining a high level of organization, accuracy, and attention to detail.<br>

This position will be in person at the University of Utah (SLC location) with the future possibility of a hybrid option.<br>

<div><div><b>Responsibilities</b></div>
<div><div>&bull; Process Pay agreements and monitor payroll process.&bull; Ongoing financial and pay agreement training.<br>
<ul><li>Post staff and faculty position</li><li>Onboard/Offboard Staff, setting-up training schedules</li><li>Develop departmental training procedures and job distribution.</li><li>Processes all faculty hiring documentation and process.</li><li>Assists with faculty recruitment coordination may include but is not limited to schedule meetings, travel, and other expenditures.</li><li>Assists with RPT process (faculty retention, promotion, tenure).</li><li>The administrative matters regarding day-to-day operations and procedures for university department.</li><li>Maintains Tuition Benefit Program (working with faculty &amp; students, implement and keep up with requirements</li><li>Provides administrative support to upper-level department management by scheduling appointments, coordinating meetings, conferences, retreats, and other department events.</li><li>Maintain Personnel forms/personnel directory.</li><li>Manages &amp; prepares CAV reports.</li><li>Processes Activity set-up with start-up funds</li><li>Cross training and backup with front desk, and other areas as needed.</li></ul><br>
