<div>The Department of Urology at University of Iowa Health Care is seeking an Administrative Services Specialist to contribute to the success of the department by providing executive level administrative support to the DEO, former DEO and Department Administrator by performing complex administrative, financial, communicative, and coordination support responsibilities, including managing schedules, correspondence, travel arrangements, and requiring contact with deans, directors, department heads, upper-level executives, faculty, staff, public, and private officials.
Key Duties and Responsibilities:
Provide direct assistance to the DEO, former DEO, and Department Administrator. Manage complex schedules, requiring judgement in determining meeting needs, discretion related to calendar activities, prioritization of appointments; arrange and manage itineraries, and maintain clinical calendar updates. Provide general administrative support.
Partner with the DEO and Department Administrator to facilitate planning, developing, coordinating, and implementing short- and long-range goals as outlined in the strategic plan for the project, program, unit, department, or college/division. Assist with assuring compliance with various policies or procedures (Safety, HR, and Purchasing).
Serve as contact to faculty, staff, students, alumni and public concerning inquiries or complaints requiring interpretation of policies, procedures and programs.
Exercise discretion in obtaining and providing factual and confidential information related to UI Health Care and institutional operations.
Assist with faculty Promotion &amp; Tenure process. Coordinate meetings for the department's DCG committee to review the P&amp;T packet. Ensure all documents are uploaded to the P&amp;T CCOM website by the specified deadline.
Oversee the annual review process of probationary and tenured faculty with the DEO and division directors. Ensure all evaluations are signed and uploaded to the CCOM (FRAP) system by the specified deadline.
Compose original correspondence for DEO and Department Administrator, requiring a high level of discretion, judgment and effective written, verbal, and interpersonal communication skills.
Prepares presentations and talking points for the DEO and Department Administrator in relation to departmental, academic, and organizational priorities.
Coordinate meetings, forums, and other events on behalf of the DEO and Department Administrator. Prepare agendas, documents and provide administrative support during assigned activities and meetings. Secure room reservations for meetings and conferences. Manage conference and shared room schedules.
Coordinates faculty meeting processes. Prepares agendas, minutes, and assists presenters with preparations and presentations.
Tracks, monitors, and follows the progress of projects and action items that generate from the DEO and/or Department Administrator&rsquo;s office, or that are assigned to the DEO and/or Department Administrator.
Obtain, tabulate and analyze data to prepare periodic and specialized reports to present to department leadership.
Make travel arrangements for DEO, former DEO and Department Administrator, including hotel reservations, conference registrations, airfare, coordinating, planning, and interpreting policies and procedures; prepares and submits travel request forms and expense vouchers.
Maintains department procurement card for purchasing needs, including travel needs for DEO, former DEO and Department Administrator. Track and reconcile card vouchers and expenditures following University policies and procedures.
Prepare, pay and renew license, memberships, and certifications, monitoring the budget for the Chair and faculty. Notify Chair and CDA and work to resolve if faculty are over their allocation.
Other duties and responsibilities as assigned. 

<div>REQUIRED QUALIFICATIONS
Bachelor's degree in a related field, or an equivalent combination of education and experience.
Minimum 1-3 years relevant administrative experience.
Excellent written, verbal and interpersonal communication skills.
Demonstrate careful attention to detail and accuracy, possess strong organizational skills, can handle multiple tasks quickly, and proactively prioritize requests from various sources to meet deadlines.
Proficiency in Microsoft office programs (Word, Excel, Power Point). 
DESIRABLE QUALIFICATIONS
Previous administrative support experience in a health care or collegiate setting.
Previous administrative experience supporting executives, leaders or faculty.
Knowledge of University of Iowa and/or University of Iowa Health Care policies and procedures.

<li>Release property to authorized individuals or agencies following adjudication or proper authorization.</li>
<li>Generate statistical and operational reports related to records and evidence management.</li>
<li>Assist with records audits and quality assurance reviews to ensure regulatory compliance.</li>
</ul>
IACLEA Accreditation Administrative Support
<ul>
<li>Serve as the primary administrative compliance coordinator for the department&rsquo;s International Association of Campus Law Enforcement Administrators (IACLEA) Accreditation program.</li>
<li>Maintain and manage accreditation files, proofs, and documentation to ensure continuous compliance with IACLEA standards.</li>
<li>Track accreditation timelines, reporting deadlines, and compliance milestones; provide regular status updates to command staff.</li>
<li>Coordinate collection, review, and organization of departmental policies, procedures, and operational documentation required for accreditation.</li>
<li>Assist in drafting, formatting, revising, and publishing departmental policies to align with accreditation standards and best practices.</li>
<li>Upload and maintain documentation within accreditation management platforms and internal tracking systems.</li>
<li>Conduct gap analyses to identify areas of non-compliance and assist in developing corrective action plans.</li>
<li>Prepare statistical summaries, compliance matrices, and supporting documentation for mock assessments and formal site visits.</li>
<li>Coordinate logistics and materials for accreditation assessments and assessor site visits.</li>
<li>Monitor updates to IACLEA standards and advise leadership on operational impact.</li>
<li>Serve as a resource to department personnel regarding documentation requirements and accreditation processes.</li>
<li>Maintain strict confidentiality of sensitive materials reviewed during accreditation cycles.</li>
</ul>
Other Duties as Assigned
<ul>
<li>Provide administrative and analytical support to the AVP for Campus Safety &amp; Chief of Police as requested.</li>
<li>Participate in special projects, process improvement initiatives, and division-wide administrative efforts.</li>
<li>Demonstrate adherence to the User-Friendly Principles (P530) and Principles of Conduct for a Multi-Cultural University (P30D).</li>
<li>Promote safe work practices and compliance with university policies.</li>
</ul>
Minimum Qualifications
<ul>
<li>Bachelor&rsquo;s degree in public administration, business administration, criminal justice, or related field, and/or equivalent combination of education and progressively responsible administrative experience.</li>
<li>Demonstrated ability to independently analyze administrative processes and develop procedural improvements.</li>
<li>Thorough knowledge of public administration principles, compliance regulations, and operational management practices.</li>
<li>Experience interpreting and applying complex policies, laws, and regulatory standards.</li>
<li>Strong analytical, organizational, and project management skills.</li>
<li>Ability to manage multiple complex assignments with competing deadlines.</li>
<li>Demonstrated ability to handle highly sensitive and confidential information.</li>
<li>Advanced written and verbal communication skills.</li>
<li>Proficiency in Microsoft Office Suite and database systems.</li>
<li>Thorough knowledge of and ability to apply extensive expertise to complex programs and/or administrative specialties, including pertinent laws and regulations.</li>
<li>Demonstrated expertise in and advanced knowledge of the principles, problems, and methods of public and business administration and operational and fiscal management.</li>
<li>Expertise in administrative survey techniques, operations and systems analysis, statistical and research methods, and the ability to interpret and evaluate results to develop sound conclusions and recommend new or revised policies.</li>
<li>Ability to understand problems from a broad, interactive perspective and discern applicable underlying principles to conceive of and develop strategic solutions.</li>
<li>Ability to work with representatives from public and private entities and handle potentially sensitive situations. Demonstrated consultative skills in working with internal and external constituent groups.</li>

Preferred Qualifications
<ul>
<li>Five (5) or more years of progressively responsible administrative experience, preferably in a law enforcement or higher education environment.</li>
<li>Experience supporting law enforcement accreditation programs (IACLEA, CALEA, or similar).</li>
<li>Experience preparing for audits, compliance reviews, or regulatory inspections.</li>
<li>Knowledge of P.O.S.T., DOJ, and CSU administrative requirements.</li>
<li>Experience with policy development, compliance tracking systems, and audit documentation.</li>
<li>Demonstrated ability to independently manage regulatory compliance programs.</li>
<li>Experience working in a diverse university environment.</li>
</ul>

<ul>
<li>Must be able to work in a police environment.</li>
<li>Must respond to campus emergencies and may be required to work evening, weekends and/or emergency hours.</li>
<li>Must be able to competently interact with a culturally and ethnically diverse population of students, faculty, staff, and management.</li>
<li>Must pass fingerprinting and background investigation process prior to hire date.</li>
