As a Remote Assistant Facility Manager at JLL, you will be the pivotal single point of contact for distributed office and retail portfolios, championing operational excellence and seamless service delivery across geographic locations. In this role, you will oversee the systems administration of our computerized maintenance management system (CMMS), reporting, and facilities support via JLL Mobile Technology Services and Alliance Vendor Partners. You will collaborate closely with facility teams, vendors, and clients to create, manage, and verify work orders while ensuring all preventive and recurring maintenance activities are scheduled and completed to industry and client standards. You will also monitor vendor invoice submittals and either dispute or authorize payment within the Corrigo work order.

What your day-to-day will look like:</h2><ul><li>
Remotely serve as the main point of contact for facility equipment, maintenance questions, issues, and repairs; cultivate positive relationships with clients, vendors, and the facility management team</li><li>
Plan, schedule, coordinate, and assign maintenance activities using industry and client best practices for JLL MTS and Alliance Vendor partners</li><li>
Create, manage, and verify work orders; oversee daily review and facilitate resolution to ensure exceptional service delivery and customer experience meets and exceeds the KPI goals</li><li>
Manage and coach vendors, ensuring compliance with safety, infection control, and service level requirements; deliver coaching and direction on CMMS (Corrigo) use as needed</li><li>
Administer the CMMS, oversee proper system use and configuration, and maximize its capabilities for central, facility management, and reporting objectives</li><li>
Analyze work orders, preventive maintenance, and customer feedback; develop and implement strategies to improve operational performance and mitigate risk</li><li>
Support call center escalations, communicate with supervisors and regional manager, and provide accurate updates and progress reports on repairs and projects</li><li>
Produce monthly, quarterly, annual, and ad-hoc reports and presentations on work orders, maintenance, service levels, labor, incidents, and training</li><li>

Required qualifications:</h2><ul><li>
High school diploma or equivalent; undergraduate degree preferred</li><li>
At least 3&ndash;4 years&rsquo; experience in facilities management and Corrigo CMMS/work order applications, ideally with multi-site portfolios</li><li>
Superior customer service orientation, with strong written, verbal, and people skills</li><li>
Highly organized, able to multitask, plan, and manage work under time constraints without direct supervision</li><li>
Proficient in Microsoft Office Suite (Word, Excel, Outlook, Power Point); capable of customizing administrative reports</li><li>
Ability to maintain professionalism under stressful situations and handle emergency calls on a rotating schedule as needed (nights/weekends/holidays)</li><li>
Strong collaborative approach to working with diverse teams and stakeholders</li><li>

Preferred qualifications:</h2><ul><li>
Associate&rsquo;s or Bachelor&rsquo;s degree in Facility Management, Business Administration, or a related discipline</li><li>

Experience supporting Class A office and/or distributed retail portfolios</li><li>
Familiarity with Corrigo CMMS and demonstrated ability to administer facility management systems</li><li>
Demonstrated record of recommending and implementing quality and service improvements</li><li>
Knowledge of safety, infection control, and sustainability best practices</li><li>
Multilingual skills</li><li>

Essential Functions of Assistant Business Office Manager (ABOM):

The Assistant Business Office Manager is responsible for assisting the Business Office Manager (BOM) in monitoring financial operations such as accounts payable and receivable. This role may also include overseeing secretarial and accounting personnel. In this position, you will work for a facility that provides residential, long-term nursing care to its residents. A primary job duty will be dealing with all insurance payments, including private, Medicare, and Medicaid

The Assistant Business Office Manager will assist the BOM with the following activities:
<ul>
<li>Managing billing, accounts receivable, and collection activities in the facility.</li>
<li>Organizing, evaluating, and monitoring business office operations and supervises assigned personnel in accordance with established policies and procedures.</li>
<li>Meets with family members to gather information and ensures that all payer sources are documented and input correctly into EHR.</li>
<li>Assists with Medicaid Pending applications, and works with resident, family and applicable outside agencies to finalize facility coverage through Medicaid.</li>
<li>Ensures integrity and confidentiality of all resident financial data.</li>
<li>Performs collection activities for patient carriers.</li>
<li>Establishes and maintains a system of financial record keeping, to include issuing receipts, preparing and making bank deposits, and recording payments using proper segregation of duties.</li>
<li>Interacts with home office billing team and payers to define billing requirements and ensures prompt payment of claims.</li>
<li>Manages census activities including daily, weekly, and monthly balancing with the nursing and admissions departments.</li>
<li>Produces reports for analysis purposes as needed.</li>
<li>Manages month-end close activities related to charge capturing and submission of all billing statements and invoices to payors.</li>
<li>Ensures compliance with all policies and procedures relating to billing.</li>
<li>Monitors all ongoing projects related to AR, billing, and collections within the Facility.</li>
<li>Manages Resident Trust Account for inhouse residents, to include weekly and monthly reconciliations.</li>
<li>Manages Facility Petty Cash to include reconciliation and reimbursement weekly and monthly.</li>
<li>Maintains and administers staffing and census reports on a daily basis.</li>
<li>Assists the staffing coordinator and communicates any changes in staffing needs as they occur.</li>
</ul>
Requirements of Assistant Business Office Manager (ABOM):
<ul>
<li>Minimum Education: High school diploma or HSD equivalency, with some college or technical school course work and minimum of three years of job-related experience, preferably in a billing department; or any equivalent combination of education and experience that provides the required knowledge, skills and abilities</li>
<li>3 to 5 years of Experience</li>
<li>Experience in Office Management</li>
<li>Skilled nursing, geriatric and long-term care experience preferred</li>
<li>Good communication, interpersonal, and teamwork skills</li>
<li>Strong computer and organization skills, attention to details, and the ability to follow instruction.</li></ul>
