This position provides administrative support and performs confidential duties for the President and the Board of Trustees consistent with the policies and procedures of Grays Harbor College. The Executive Assistant is responsible for overseeing and coordinating major administrative processes, events, services, as well as using a variety of communication venues to help keep the campus informed. Manages and oversee the daily operations of the President's Office, which includes managing the president's calendar, developing office procedures, and ensuring the delivery of high quality, customer-focused services that meet the needs of internal/external constituencies.</li><li>
Establishes and maintains effective communication and working relationships with faculty, staff, executive administrators, and students.</li><li>
Monitors and manages budgets for the President's Office.</li><li>
Screens, prioritizes, and responds to incoming calls, mail, e-mail and visitors to the President's Office.</li><li>
Schedules appointments as requested and meetings called by the President.</li><li>
Provides supporting information and materials to the President for appointments and meetings.</li><li>
Composes letters, memorandums, reports, speeches and other various correspondence at the direction of the President.</li><li>

Screen grant applications and reporting materials for completeness and follow up with applicants as needed.</li><li>

Qualifications:

Project management or project support courses/certification</li><li>
Previous experience with general office administrative responsibilities and procedures</li><li>

Familiarity with architectural design and construction projects</li><li>

Maintain accountability and accept responsibility for daily activities reporting to vice president on status of all activities, requests, and open items</li></ul>
Communication and Information Management<ul><li>
Compose, draft, proof, edit, and finalize correspondence including meeting invitations, follow up e-mail and other documents</li><li>
Review incoming tasks and actions from the team to ensure prioritization and success of the vice president regarding deadlines</li><li>
Create and maintain accurate paper and electronic filing ensuring documents are sent to headquarters and securely destroyed according to company&rsquo;s document retention policy</li><li>
Familiarity with company&rsquo;s policies as outlined in the handbook and online, including but not limited to, travel, record retention and leave polices.</li><li>

Handle planning logistics for vice president and directors for trips; provide detailed itineraries, agendas, directions, and backup materials; prepare expense reports in timely manner ensuring accuracy and submit in accordance with organization policy</li><li>
Monitor vice president and directors&rsquo; calendars and anticipate where problems might arise regarding calendar, meeting preparation, needs of attendees involved, requests for meetings and telephone calls; communicate potential and/or confirmed changes to involved parties immediately</li><li>
Schedule and coordinate meetings and executive events, inform attendees of dates and time, reserve meeting space, ensure the appropriate equipment/materials are available, coordinate hospitality services as needed; assist with various company off-site meetings as requested in an upbeat and professional manner</li><li>
Facilitate the successful implementation of projects initiated by vice president and/or directors.
