POSITION SUMMARY:

The primary purpose of this position of Business Office Assistant is to assist the Business Office Manager/Executive Director with Financial functions within the facility business office. This employee focuses primarily on assisting the BOM in maximizing cash flow through efficient billing and collection processes according to the organizations established policies and procedures or as may be directed by the facility Executive Director.

FUNCTIONS:
<ul>
<li>Census: Review financial information on all new admissions. Ensure that all census changes reported on the Midnight Nursing Census are recorded in Point Click Care and on the Daily Census Report. Balanced Daily Census is emailed to all interested parties daily</li>
<li>Billing: Process statements for all Private Pay and Patient Liability accounts, process co-insurance billing for Med A, Med B Mgd Care, and Private insurance claims that do not cross over electronically. Enter Patient Liability Changes into PCC when notice is received from Mass Health. Meet with residents/authorized representatives when necessary to collect outstanding Patient Liability</li>
<li>Cash Receipts: Process remote deposits and NDC transfers from RFMS daily, Scan and Post all deposits to Operations account and RFMS account daily</li>
<li>Collections: Follow up on Outstanding Patient Liability, Private balances, and Co-Insurance claims, and report to Business Office Manager and Regional A/R Manager any Problem Accounts</li>
<li>Resident Fund Accounts: Maintain confidentiality of all resident care information, provide all residents with cash for personal needs when necessary, Pay any invoices due to hairdresser, barber, insurance policies, etc. for residents out of their Personal needs account</li>

The Business Office Assistant is to process and maintain all appropriate and adequate information in order to bill approved payor sources for services and charges rendered by facility. Assist admissions to create an efficient, warm, and inviting atmosphere whereby potential residents and their legal representative are appropriately educated and informed of the admission process assisting the transition of the resident into the facility.
Must be able to provide superior Customer Service to our White Oak patients, residents, families, co-workers and vendors in a manner to ensure customer satisfaction. Explains and completed the Business Office related section of the admission packet on new and/or readmissions</li><li>
Assist with communicating all patient changes information</li><li>
Monthly billing experience</li><li>

Excellent organization, time management, and communication skills</li><li>
Have excellent interpersonal skills and management skill set</li><li>
Secretarial duties as needed such as typing, bookkeeping, photocopying, filing, preparing outgoing mail, etc.</li><li>
Experience in a Long-Term Care/Business Office preferred.</li></ul>
EDUCATION &amp; QUALIFICATIONS: High school graduate with commercial college or business experience. Must be mature, well-groomed, and able to meet and communicate with the public. Must possess versatile office skills and leadership abilities. Good physical and mental health required, to be examined by annual health examinations. Must have knowledge of operational goals and to be loyal to facility objectives.

Position Summary:
The Business Office Manager Assistant is responsible for billing and collection of the community's revenue in accordance with current acceptable accounting principles, state and federal regulations, administrative policies and procedures, and as directed by the Business Office Manager and Administrator. The Business Office Manager Assistant will record census, cash, and revenue, counsel residents and responsible parties regarding their financial responsibilities and maintain documentation of collection efforts.
